Ultimate Stay is looking for an enthusiastic individual to join our team as Personal Assistant to Managing Director. A successful candidate in this role has exceptional communication skills, is extremely structured and organized and has unparalleled attention to detail. The Personal Assistant will be responsible for providing support and executing various administrative tasks related to professional as well as private matters of Managing Director. The job is ideal for someone, who is passionate about travel and hospitality industry and wants to assist the Managing Director in navigating and expanding the company. Tasks & responsibilities
Provide administrative support and assistance to the MD
Attend to various ad hoc requests, both of a personal and professional nature
Prepare internal and external communications on behalf of the MD
Perform desk based research and prepare reports/ presentations on a given topic
Arrange personal and professional travels, including flights, visas, accommodations and others, as needed
Schedule and occasionally attend meetings on behalf of the MD, taking notes and recording minutes
Screen incoming communications (emails, messages, phone calls) and distribute correspondence
Manage the daily schedule of the company\'s Managing Director, both personal and professional
Manage company\'s and/ or MD\'s social media channels (e.g. LinkedIn, Instagram)

Excellent verbal and written communications skills
Professionalism in all forms of communications such as reports, emails, phone calls and texts
Experience in writing and adhering to manuals, checklists, standard operating procedures (SOPs), memos, etc.
Technical computer skills required on all forms of hardware (laptops, tablets, mobile devices) and software (shared folders, GSuite, Microsoft Office)
Proficiency in collaborative cloud applications
Very orderly approach and familiarity with processes, checklists, calendars, etc.
Extremely strong attention to detail
Order or perfectionism related OCD is very welcome
Problem solver with a can-do approach
High responsiveness and reliability
Strong autonomy in planning and tasks execution (excellent time management skills)
Ability to work well under pressure in an agile, fast-paced environment

Must be residing in the UAE
English is a must (full working proficiency), proficiency in other of the widely spoken languages in the UAE is a plus
Working proficiency in task management tools (e.g. Asana, Clickup, Monday.com) is a plus
Accommodation in central location of Dubai is a plus
Driving license valid in the UAE is a plus (note that the candidate will be required to obtain the UAE driving license, so openness to do so is a must)
Previous experience working as a PA or office manager is a plus
Prior hospitality experience is a plus
