The Personal Assistant will provide high-level administrative, organizational, and coordination support to the Managing Partner. This role requires a proactive, detail-oriented, and professional individual who can manage calendars, follow up on tasks, coordinate meetings, prepare business communication, and act as a bridge between internal departments and the Managing Partner. Absolute confidentiality, discretion, and maturity are essential.
Key Responsibilities:
1. Executive Support & Coordination
Maintain and manage the Managing Partner's daily calendar, schedules, appointments, and travel arrangements.
Prepare meeting agendas, take minutes, and follow up on action points with relevant departments.
Maintain efficient filing systems (digital and physical) for documents, contracts, and correspondence.
2. Communication & Correspondence
Draft, proofread, and send internal and external emails, memos, letters, and presentations.
Act as the first point of contact for the Managing Partner--filter inquiries and requests, prioritize urgent matters, and ensure timely responses.
Coordinate between offices, senior management, and external stakeholders professionally.
3. Operational Support
Support the Managing Partner in overseeing business processes and special projects.
Monitor tasks and deadlines assigned to different teams and ensure timely completion.
Assist in preparing reports, performance summaries, and operational dashboards.
4. Confidentiality & Professional Conduct
Handle sensitive and confidential information with absolute discretion.
Maintain professionalism at all times in communication, behavior, and representation of the Managing Partner's office.
Requirements:
Education & Experience:
Bachelor's degree (Business Administration, Management, or equivalent preferred).
1-4 years of executive assistant/PA/office coordination experience (experience in consulting, immigration, corporate office, or executive-level environment is a plus).
Skills & Competencies:
Excellent spoken and written English communication.
Strong organizational and time-management skills.
Proficiency in MS Office (Word, Excel, PowerPoint) and email drafting.
Ability to multitask and work under pressure in a fast-paced environment.
High level of professionalism, confidence, and confidentiality.
