We are seeking a highly organized, exceptionally proactive, and supremely discreet

Personal Assistant

to provide comprehensive administrative, personal, and professional support to a prominent musician and entertainment company owner. This multifaceted role demands a detail-oriented problem-solver with unparalleled time management skills, capable of seamlessly managing the complex demands of both a creative artist's career and a dynamic business enterprise. The ideal candidate will possess a high degree of professionalism, unwavering confidentiality, and the ability to anticipate needs and act independently in a fast-paced, often unpredictable, environment.

Key Responsibilities



Calendar & Travel Management:

Manage intricate calendars, scheduling appointments, high-level meetings, and extensive travel arrangements (flights, hotels, ground transportation, international visas).

Information & Document Management:

Organize and maintain highly sensitive physical and electronic filing systems for both personal and business documents (e.g., contracts, licensing, music files, financial records), ensuring absolute confidentiality and easy retrieval.

Communication Handling:

Handle all incoming and outgoing communications, including screening calls, emails, and mail, responding proactively and professionally when appropriate.

Industry Liaison:

Act as a primary liaison with agents, managers, publicists, record labels, venues, promoters, and other key industry contacts.

Brand & Artist Support:

Assist with personal brand management, including coordinating social media content schedules and managing fan/VIP interactions as directed.

Industry Research:

Conduct research on music industry trends, chart performance, potential collaborations, and emerging artists.

Business Relationship Management:

Support the owner in managing relationships with business partners, clients, and company employees.

Personal Errands & Scheduling:

Assist with a wide range of personal errands, appointments, and scheduling.

Complex Travel Coordination:

Coordinate complex personal travel logistics and detailed itineraries, often accompanying the principal on trips.

Discreet Correspondence:

Manage personal correspondence and communications, exercising extreme discretion.

Event Planning:

Assist with event planning for both professional and personal engagements.

In-depth Research:

Conduct in-depth research on various topics as requested, compiling data and presenting findings clearly and concisely.

Confidentiality Management:

Maintain absolute confidentiality of all sensitive personal, creative, and business information and documents.

Time Optimization:

Act as a gatekeeper, prioritizing information and requests effectively to optimize the principal's time.

Communication Flow:

Facilitate seamless communication flow and ensure timely follow-up on all action items.

Qualifications



Education:

Bachelor's degree preferred; relevant certifications in administrative support, music business, or entertainment management are a plus.

Experience:

[3-5+] years of experience as a Personal Assistant or Executive Assistant, with a proven track record of supporting a senior executive or high-profile individual, ideally within the music or entertainment industry.

Industry Knowledge:

A strong understanding of the music and broader entertainment industry, including its unique demands, terminology, and key players.

Organizational & Time Management:

Exceptional organizational and time management skills, with the ability to multitask, prioritize effectively under pressure, and meet tight deadlines in a dynamic, often chaotic, environment.

Communication:

Excellent verbal and written communication skills in both English and Arabic.

Technical Proficiency:

Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with virtual meeting platforms (e.g., Zoom, Microsoft Teams) and various calendar management tools.

Discretion & Confidentiality:

Paramount ability to handle highly sensitive and confidential information with the utmost discretion, integrity, and professionalism.

Proactiveness & Initiative:

A forward-thinking approach, anticipating needs, identifying potential issues, and taking swift initiative to resolve them.

Attention to Detail:

Meticulous attention to detail and accuracy in all tasks, no matter how small.

Interpersonal Skills:

Superior interpersonal skills with a professional, adaptable, calm, and positive demeanor, even in high-pressure situations.

Flexibility & Availability:

Willingness and ability to work irregular hours, including evenings, weekends, and holidays, and to travel extensively, often on short notice, to accommodate the principal's demanding schedule.

Driver's License:

A valid driver's license and a clean driving record are required.
