We are seeking a highly organized and professional Personal Assistant to provide comprehensive support to our C-Level Executive, specifically the Chief Operating Officer (COO). The successful candidate will be responsible for managing a wide range of administrative and operational tasks, ensuring the smooth functioning of the executive\'s office and assisting in various projects and events.
Responsibilities:
Maintain the highest level of confidentiality when handling sensitive information and exercise discretion in all matters.
Provide high-level administrative support to C-Level Executives, managing their calendars, scheduling meetings, and making travel arrangements.
Contract Preparation and Management: Prepare, review, and manage contracts, ensuring compliance with legal requirements and organizational policies.
Conduct Intensive Research: Perform in-depth research on various topics, compile relevant information, and present findings to the COO.
Act as a liaison between the employer and all staff members.
Assist in Exhibitions and Events: Support the planning, organization, and execution of exhibitions and events, including logistics, vendor coordination, and on-site assistance.
Vendor Management: Assist in vendor selection, negotiation, and ongoing management to ensure efficient and cost-effective services.
Hiring Agencies: Collaborate with recruitment agencies to identify suitable candidates for open positions within the organization.
Follow-up Payments: Monitor accounts receivable and accounts payable, ensuring timely follow-up and resolution of payment-related issues.
Candidate Screening and Interviews: Conduct initial screening of candidates, schedule interviews, and assist in the selection process.
Attendance and Salary Management: Maintain attendance records, assist in payroll processing, and handle related administrative tasks.
Qualifications:
Bachelor\'s degree in Business Administration or a related field (preferred)
Proven experience as a Personal Assistant or Executive Assistant, preferably supporting C-Level executives
Excellent organizational and time management skills
Strong communication and interpersonal abilities
Proficiency in MS Office Suite and other relevant software
Ability to handle multiple tasks simultaneously and prioritize effectively
Discretion and ability to handle confidential information
Flexibility to work outside regular office hours when necessary
