Job Description

The Role
: The Personal Assistant to the CEO and Chairman will provide high-level administrative support to the company\xe2\x80\x99s CEO and Chairman. This role requires discretion, attention to detail, the ability to meet tight deadlines, and impeccable organizational skills. Key Responsibilities: \xe2\x80\xa2 Manage and maintain schedule, appointments and travel arrangements \xe2\x80\xa2 Act as the point of contact between the internal/external clients \xe2\x80\xa2 Verification of documents and cheques prior to management signatures \xe2\x80\xa2 Handle confidential documents ensuring they remain secure \xe2\x80\xa2 Prepare and edit correspondence, communications, presentations and other documents \xe2\x80\xa2 Manage and organize meetings and events \xe2\x80\xa2 Record, transcribe, and distribute minutes of meetings \xe2\x80\xa2 Monitor, screen, respond to and distribute incoming communications \xe2\x80\xa2 Liaise with internal staff at all levels \xe2\x80\xa2 Interact with external clients and stakeholders \xe2\x80\xa2 Coordinate project-based work \xe2\x80\xa2 Managing monthly claim expenses \xe2\x80\xa2 Timely payment of monthly credit cards, utility and mobile bills \xe2\x80\xa2 Maintenance of the cars, renewal, fines, services etc \xe2\x80\xa2 Managing account balance and online banking transfers \xe2\x80\xa2 Handle medical insurance, claims and appointments \xe2\x80\xa2 Managing office expense and petty cash \xe2\x80\xa2 Tenant coordination, tenancy renewal, leasing, property management, maintenance, etc \xe2\x80\xa2 Managing and coordination documentation with banks \xe2\x80\xa2 Organizing Electronic and hard copy filing \xe2\x80\xa2 Coordination and documentation for all administration and lease agreements \xe2\x80\xa2 Coordination with Accounts team for Vendor\xe2\x80\x99s payment confirmation \xe2\x80\xa2 Managing Office Maintenance, Vendors coordination, Contract management and timely contracts renewal. \xe2\x80\xa2 HR support as needed, Recruiting, Onboarding, Offer letters, Salary certificates, fostering a safe environment, managing employees\xe2\x80\x99 relations, administering payroll, managing compensation and benefit packages, handling disciplinary needs, ensuring compliance with labour laws and regulations

Requirements
Qualifications: \xe2\x80\xa2 Proven experience as a personal assistant or similar role \xe2\x80\xa2 Knowledge of office management systems and procedures \xe2\x80\xa2 Outstanding organizational and time management abilities \xe2\x80\xa2 Ability to multitask and prioritize daily workload \xe2\x80\xa2 Excellent verbal and written communications skills \xe2\x80\xa2 Discretion and confidentiality \xe2\x80\xa2 High School degree; additional qualification as a personal assistant or secretary will be a plus Technical Skills: \xe2\x80\xa2 Proficiency in MS Office and other office productivity tools \xe2\x80\xa2 Familiarity with email scheduling tools \xe2\x80\xa2 Comfortable with fast-paced and varied computer work Personal Attributes: \xe2\x80\xa2 Good communication \xe2\x80\xa2 Organized \xe2\x80\xa2 Efficient Time management \xe2\x80\xa2 Honest \xe2\x80\xa2 Proactive problem solver \xe2\x80\xa2 Attentive to details \xe2\x80\xa2 Flexible and adaptable \xe2\x80\xa2 Professional discretion \xe2\x80\xa2 High emotional intelligence
