Responsibilities & Tasks: a) Acting as a first point of contact: dealing with correspondence and phone calls. b) Managing diaries and organizing meetings and appointments, tickets, trips, etc. c) Reminding the manager/executive of important tasks and deadlines. d) Typing, compiling and preparing reports, presentations and correspondence. e) Managing databases and filing systems. f) Implementing and maintaining procedures/administrative systems. g) Liaising with staff, suppliers and clients. h) Collating and filing expenses. i) Conducting research on behalf of the manager. j) Dealing with incoming email, faxes and post, often corresponding on behalf of the manager k) Producing documents, briefing papers, reports and presentations l) Act as the first point of contact for the employer as necessary m) Manage the employer's calendar and appointment scheduling n) Read and write correspondence in mail, strong email correspondence skills are mandatory.
