About the Role



We are looking for an ambitious and motivated People Coordinator to join our People team at a time of fast growth and change. A key focus of this role will be managing all People operations within the DMCC platform, including the administration of our team's contracts, visas, health insurance and related compliance activities. You will play a vital role in ensuring all processes run smoothly while creating an exceptional experience for our people across every stage of the employee lifecycle.

The ideal candidate will be highly energetic, professional and able to demonstrate integrity and discretion in all tasks. As this role involves handling sensitive personal and company data, you must be able to manage confidential information with the highest level of care and responsibility.

Key Responsibilities





At Trivandi all our roles are broad and flexible, but here's a flavour of where you'll focus your time:

Visa Management



Process new-starter visa requests and renewals for current employees, ensuring all required documents are accurately prepared and aligned with DMCC platform requirements. Ensure visa renewals are completed within the required timeframe. Communicate with employees throughout the visa process, guiding them on medical and EID biometric appointments and the steps involved in receiving their Emirates ID. Support team member with the attestation and translation of education certificates required for their visa applications. Coordinate KSA Business Visa applications and renewals for all employees, monitoring expiry dates and turnaround times. Ensure all documentation is complete and correct before employees visit the visa processing centre.

Insurance



Process health insurance for new starters through our Group Health Insurance policy, ensuring all required documents are provided and that applications are submitted in time to support the next steps of the visa process. Share health insurance policy documents with new starters once their policies are active. Upload all new and renewed health insurance policies to the DMCC portal for the respective employee(s), ensuring information is accurate and up to date. Advise team members on the Involuntary Loss of Employment (ILOE) insurance scheme, ensuring they complete their registration and provide their certificate for compliance records. Liaise with the Business Performance team to request travel insurance for new starters where relevant ensuring travel policy documents are uploaded to HRMS and team member personnel folder.
Update health/travel insurance policy documentation for all team members upon insurance policy renewal.

Recruitment




Assist the People Team globally with coordinating the recruitment process through PinPoint, gaining a full working knowledge of the system and how to assist hiring managers through the recruitment journey.

Onboarding

Ensure all team member contract paperwork is accurate, up to date and saved in the respective employee files on SharePoint by regularly completing audits. Process employee letter requests through the DMCC system (e.g., Arabic salary certificates, NOCs), including those needed for Golden Visa applications or family sponsorship. Prepare and issue salary certificates for banks, employment visa support letters and letter required for personal visas (e.g. Schengen visas). Coordinate and track background checks for new starters, liaising with external providers and ensuring completion prior to start date. Coordinate and complete reference checks for candidates, ensuring references are obtained, documented, and stored appropriately prior to onboarding. Manage the applications for One JLT access in line with visa applications and renewals. Liaise with the Business Performance team to coordinate onboarding tasks, including IT setup and access to all required systems. Add new starters to internal systems prior to their start date, including Breathe, CMap, and Heka.

Associate Network





Assist the People team with the management of our Associate Network platform, Worksuite. This includes but is not limited to:
o Reviewing CV's and tagging new joiners to Worksuite.

o Assisting with platform improvements, data cleaning and general housekeeping.

o Responding to Associate messages and queries within the platform in a timely manner.

o Introductory talks to members of the team about how to use the platform.

o Reviewing and updating any changes to Worksuite user guide and Associate Handbook.

General Administration



Assist the People team by ensuing all relevant People team trackers, MS planners and systems are kept up to date. Support with the annual review cycle, tracking outcomes centrally. Monitor and respond to queries in the People inbox, ensuring timely, helpful and professional communication.


Skills, Knowledge and Expertise





The key knowledge, experience, and qualifications we are looking for include:

1-2 years of experience in Human Resources or People operations in Dubai, ideally within a professional services or fast-paced environment. Strong administration skills developed within a professional setting. Educated to degree level or above. Experience with HRMS platforms or other relevant HR information system. Proficient in the use of IT and Microsoft programmes and iOS applications. Highly organised, detail-oriented, and able to manage multiple priorities in a fast-paced environment. Excellent communication skills with the ability to handle confidential and sensitive information with discretion. Desirable - DMCC systems knowledge
Strongly desirable - Arabic speaker
