The Dental Patient Service Agent is responsible for delivering exceptional front-line customer service to dental patients. This role includes scheduling appointments, managing patient inquiries, maintaining records, handling insurance information, and supporting the clinical team by ensuring a smooth flow of patients through the practice.
Key Responsibilities:
Greet and assist patients in a friendly and professional manner, in person, by phone, or via email.
Schedule and confirm patient appointments, manage cancellations, and maintain the appointment calendar.
Register new patients and update existing patient records in the system.
Verify insurance information and ensure proper documentation is completed.
Answer inquiries regarding treatments, fees, and available services.
Collect payments, issue receipts, and manage billing or co-payments.
Coordinate with dental staff to ensure timely patient flow and minimize waiting time.
Maintain confidentiality of patient information in compliance with HIPAA and clinic policies.
Prepare and manage patient files for the clinical team.
Follow up with patients for reminders, treatment plans, and satisfaction surveys.
Manage front desk operations, including cleanliness, supplies, and organization.
Qualifications:
High school diploma or equivalent; additional training in administration or healthcare is a plus.
Previous experience in a dental or medical clinic is preferred.
Strong communication and interpersonal skills.
Proficient in using dental/medical software and general office applications.
Ability to multitask in a fast-paced environment.
Knowledge of dental terminology and procedures is an advantage.

Working Conditions:
Full-time position (may include evening or weekend shifts based on clinic hours).
