Position: Parent RelationLocation: DubaiSalary: up to 4000 AEDGender: MaleNationality: Indian 1. PURPOSE Being a representative of G1, a Parent Relations Executive (PRE) will carry out the responsibilities of their role in the school. Over and above this responsibility, they are responsible for providing additional support for the Administration department in the Corporate Office as per the requirements. 2. SCOPE All PREs will be reporting to the Managing Director with a dotted line reporting to the Head of Business Operations, Accounts Officer and Operations Manager. All PREs should be able to communicate with the School Administration and GPT Head Office for successful and effective functioning of all activities which ensures excellent customer service. 3. RESPONSIBILITY A good PRE makes a huge difference to the success of G1 and the school. PREs are key staff that will ensure good rapport with the school, parents and students of their units. 3. A. Fees & Revenue Management The PRE is expected to perform and be responsible the following activities in their respective units:a) Issuance of transport fees and extra trips invoicesb) Collection of feesc) Submission of fee collection reports to Accounts departmentd) Daily, weekly and monthly fees reconciliatione) Cancellation of receiptsf) Timely coordination of deposit of cash and cheque collectiong) Return, re-payment and consolidation of cheque bounce casesh) Manual receipt reconciliationi) Processing and consolidation refunds for the PREs unitj) Application concession after approval from Head Officek) Reminders and follow up for outstanding fee paymentsl) Additional revenue collection 3. B. Transport Management Manage the school transport counter and: a) Register new students for transport serviceb) Log and maintain students' databasec) Regular reconciliation of students' attendance against bus listd) Preparing and regular communication of capacity utilization reporte) Log and maintain change of area detailsf) Log and maintain transport discontinuation details and formg) Issuance of ID cards if the same is printed and / or provided by G1h) Log and maintain database of maintenance service request 3. C. Parent Relations & Complaints Management To ensure positive relations between G1, school, parents and students: a. Good and proper interaction with parents and studentsb. Communication to parents regarding routes and driver detailsc. Communication to parents regarding pick-up and / or drop-off timingsd. Communication to parents regarding delays due to traffic, accidents or vehicle breakdowne. Address issues and concern of parents effectivelyf. Collect feedback on Operations and performance of transport system from parents 3. D. Human Resources To manage the staff resource allocated in the PREs unit: a) Log and maintain driver deployment and any change of allocationb) Log and maintain daily staff attendancec) Coordinate for staff uniformd) Managing assets issued to staff (SIM Cards, mobile phones, electronic attendance device, etc.)e) Replacement of Drivers in case of absence of regular driverf) Log and maintain vehicle mulkia, RTA permit, Sharjah permit and Ajman permit databaseg) Ensure GPS tracking and electronic attendance system is functional before each triph) Ensure functional video surveillance and ensure timely maintenancei) Communication of login credentials for electronic attendance and online payment portal 3. E. Operations Management a) Ensure maintenance of updated bus list with list of students, staff and vehicle allocationb) Operational permit for School Busesc) Fuel managementd) Coordination for consumables and other material requirement for the vehiclese) Log, maintenance and communication to Head Office of accidentsf) Coordination for replacement vehicles in case of shortage or breakdowng) Coordination for route management and trial runsh) Confirmation and recording of traffic violations and finesi) Coordinate for maintenance servicing for vehicles allocated in the unit Perform all other duties relating to the fulfillment of the responsibilities of a PRE as assigned by the Managing Director, Head of Business Operations, and Operations Manager.4. WORK ENVIRONMENT4. A. Physical demands: A PRE has a moderately strenuous job. The PRE must sit for long periods and requires intense concentration, particularly during school open houses.4. B. Environmental Conditions: A PRE must work in all different weather conditions including extreme cold and extreme heat. 5. KNOWLEDGEThe incumbent must have proficient knowledge in the following areas: Knowledge of highway and school bus regulation Knowledge of how to deal with children Knowledge of how to deal with children with special needs Knowledge of scheduling system and procedures Knowledge of record keeping system Knowledge of equipment cleaning standards and procedures 6. SKILLS The incumbent must demonstrate the following skills: Ability to operate school bus in a safe and responsible manner Client service and public interaction skills Team building Analytical and problem solving skills Decision making skills Effective verbal and listening communications skills Ability to read and write to record pickups and maintain daily records Stress management skills Time management skills 7. EDUCATION QUALIFICATION & EXPERIENCE The School bus driver is required to have appropriate driver for driving a School bus. He will undergo formal training organized by RTA, criminal check, police verification and medical test. Be physically capable of performing job duties.
