Aldar Academies is currently seeking a PA to Prinipal at Yas American Academy on Yas Island, Abu Dhabi starting immediately.

Yas American Academy opened in September 2016 providing high quality education to the Emirate. The children are taught the Massachusetts Common Core Curriculum - tailored to be meaningful to children attending the school, alongside the local curriculum of Arabic, Islamic Studies and Social Studies. Facilities at the school are excellent and include a large astro-turf field, two swimming pools, well stocked library, a large multi-purpose sports hall, an auditorium and outdoor play areas.

Responsibilities:
Responsibilities
  • Ensuring that administrative and clerical tasks are undertaken in accordance with agreed policies, procedures and appropriate legislation.
  • Arranging appointments, meetings, interviews and any associated refreshments.
  • Management of the Principal's calendar.
  • Preparing visual aids for meetings.
  • Preparing agendas and processing minutes of meetings at the direction of the Principal.
  • Receiving visitors, monitoring and responding to telephone calls, messages, enquiries, and dealing with emails.
  • Establishing and maintaining appropriate filing and records systems.
  • Assuming responsibility for administrative arrangements for any school events as directed by the Principal.
  • Liaising with teaching and non-teaching staff and responding to enquiries.
  • Attending any necessary training associated with the duties of the post.
  • Prepare reports, presentations, and other documents as required.
  • Maintain the highest level of confidentiality and discretion in handling sensitive information.
  • Supporting the Principal in the coordination and development of the School Self-Evaluation Form (SEF) by organising section breakdowns, creating a dedicated Teams folder for staff collaboration, and editing and finalising the document for submission.
  • Preparing and maintaining the school's organisational chart by working closely with the HR to track role changes, ensuring termly updates and distribution.
  • Coordinating and supporting the Principal in preparation for various school inspections by organising required documentation, ensuring inspection room setup (including IT equipment and resources), arranging refreshments, and overseeing all logistical aspects to ensure full inspection readiness.
  • Supporting and preparing for ADEK compliance inspections by creating structured Excel sheets, organising evidence and uploading all final evidence documents to the SIMS platform in line with ADEK requirements.
  • Regularly checking and managing ADEK emails, ensuring timely communication and efficient sharing of information with relevant staff and following up on ADEK complaints to ensure prompt resolution.
  • Assisting the Principal in preparing and submitting the school calendar to ADEK in a timely and accurate manner.
  • Providing full administrative support to the Strategic Governance Group (SGG), including preparing and sharing meeting documents in advance, attending meetings to take accurate minutes, distributing them promptly, and maintaining organized, confidential records of all related documentation and follow-ups.
  • Preparing a whole school PPT showcasing the Academy by liaising with the PRE to support with media content, to be updated termly adding photos and videos of school events, trips, Open Days, and creatives shared with families.
  • Working with Directors to organise for weekly Principal Awards for students across the school.
  • Preparing and submitting the monthly staff printing analysis report by collecting usage data from Reprographics, organising it into a clear format and adding the information to the monthly tracker.
  • Manage student suspensions for non-fee payers by coordinating with the finance team, maintaining accurate records, notifying relevant staff, and ensuring communication with parents is handled in line with school policy, HQ and ADEK regulations.
  • Undertaking any other reasonable duties within the overall function, commensurate with the grading and level of responsibility of the post.
Qualifications:
REQUIREMENTS
Minimum Qualifications
  • Minimum diploma / degree of higher education; or related industry qualification, of graduate level, for the assigned functional area(s).
Minimum Experience
  • At least 2 years of experience in a similar role.
  • Previous experience in the Education sector is preferable.
Job Specific Knowledge & Skill
  • Arabic speaker is preferable with fluent English communication skills, written and oral.
  • Strong interpersonal skills to aid in daily contact with parents in a diverse multi-cultural environment.
  • Excellent office management skills.
  • Proficient in operating PC, Facsimile, Photocopier, Telex and various office machines, including working knowledge of prevailing popular application software and spreadsheets.
  • Ability to type in English.
  • A clean enhanced Disclosure and Barring Services check or police check
