Operations & Office Manager -- Novus Wellness (Dubai)
Full-time | Dubai | Premium Wellness Service
Novus Wellness is Dubai's leading mobile wellness brand, delivering premium massage and wellness experiences directly to clients' homes, hotels, and offices. We are looking for a highly organized, confident, and service-driven Operations & Office Manager to oversee daily operations, manage client communication, and support the growth of our brand.
What you'll do
The Operations & Office Manager is the central coordinator of the business--ensuring smooth day-to-day operations, managing therapist schedules, handling client communication, and supporting sales and marketing activities. This role requires excellent English communication, strong people management skills, and the ability to multitask in a fast-moving environment.
Key Responsibilities
Operations & Scheduling
Manage daily therapist schedules, bookings, and route optimization
Ensure smooth coordination between clients and therapists
Monitor punctuality, performance, and service quality
Maintain operational checklists, SOPs, and internal workflows
Client Communication & Sales
Confidently handle inbound calls, WhatsApp messages, and booking inquiries
Convert leads into confirmed bookings through strong communication and sales skills
Provide exceptional customer service, ensuring every client feels valued
Handle follow-ups, feedback, and service recovery when needed
Team & People Management
Oversee therapist attendance, performance, and professionalism
Support onboarding, training coordination, and daily team communication
Maintain a positive, disciplined, and high-performance culture
Social Media & Digital Coordination
Post updates, stories, and announcements across WhatsApp, Telegram, Facebook, and Instagram
Respond to social media inquiries and messages promptly
Assist with basic content coordination (photos, captions, scheduling)
Administration
Maintain records, reports, and operational documentation
Support invoicing, petty cash, and basic financial tracking
Ensure the office environment is organized and efficient
Requirements
Minimum 5+ years of experience in a similar position, with a health/massage/wellness company
Excellent spoken and written English
Female with a background/understanding of massage/wellness services
Previous experience in spas, hotels, or home massage services is a strong advantage
Strong people management and interpersonal skills
Outstanding time management and multitasking ability
Confident phone communication and proven sales experience
Experience with social media posting and messaging platforms (WhatsApp, Telegram,
Facebook, Instagram)
Professional, reliable and comfortable working in a fast-paced environment
Experience in wellness, hospitality or service-based businesses is an advantage
