Job Responsibilities:

- Managing the complete Logistics operations of UAE with company's trucks as well as out sourced permanently or adhoc basis. If any issue to be resolved ASAP.

- Taking all daily bookings for adhoc / contracted customers, to be in contact with all regular clients along with team who are taking on trucks on trip basis.

- To monitor the functioning of Customs Clearance Team.

- To handle a team of supervisors & drivers/helpers, make sure all supervisors are performing the job as per the assignment and within the time frame. Management will be conducting an independent survey with all customers for company's operations services.

- To manage the operations cost efficiently with in the time frame & identifying cost reduction initiatives.

- To make sure the diesel is utilized as per the requirement and same to be cross checked with set bench marks. To verify the quality of diesel randomly time to time.

- Minimizing the idle running of vehicles.

- Utilization of vehicles from the nearest camp / station.

- Minimizing the turnaround time of all cross-border trips.

- To set up SOP's for all key accounts in coordination with Sales Personal and Customer and handover to respective supervisor. The copy of the same to be forwarded to MD, DGM and PA to Chairman on a regular basis.

- To check all vouchers related to reimbursement and payments. Dead line 48 hours for submission from the completion of trip.

- Coordinating with Sales department, for executing and releasing orders.

- Leave management of operations team in coordination with HR.

- Responsibility of quality checks; to maintain ISO standards.

- Internal training programs in coordination with HR & develop competitive environment within the department in coordination with HR.

- Monthly meeting with all drivers along with supervisors; jointly or in small groups.

- Weekly (Saturday) meeting with DGM along with supervisors to discuss the challenges faced and weekly plan. Here supervisors are supposed to come up with all live updates, findings and issues faced. Also, to make a small report of team performance.

- Planning and scheduling the delivery of customers, allotment of supervisors, location and trucks in the most optimum way.

- Sales report (DVR) on daily basis for management review.

IN DIRECT Responsibilities (Manage through team):

- Negotiating the services and prices of vendors in coordination with DGM and sales team (Transport companies.).

- To make sure all processes are well followed up by the team without any failure. Here processes are referred to ISO and HACCP standards. Monthly independent audits will be performed by Management appointed personal.

- To manage the renewal and insurance of all vehicles within the time limits: * Timely Vehicle Renewals (ALL GROUP / MD HOUSE)

  • Arranging the Food Distribution Permits as per the requirement of operations.
  • Arranging calibration of all vehicles where ever it's required.
  • Addressing the accidents matters of all group vehicles and getting them repaired ASAP.
  • Vehicle Fines tracking and timely payments.
  • All required food distribution permissions should be available and vehicles to be moved accordingly, company will not be paying any fine on account of above violations.
- To make sure all other mandatory documents related to staff / vehicle are available all the time, for escalation coordinate with PRO.

Authority:

- Allocating the works to operations supervisors as per the need of the time.

- Leave Approvals of all supervisor / drivers / helpers.

- Checking all expenses vouchers and approvals.

- Recommendation for best supervisor, helper and driver from the team.

- Can recommend for penalty for assigned team for not following company policy.

- Delegation of ISO / HACCP related responsibility.

KPI:

- Customer Relation & Engagement * Retention & business development
  • Timely responses to customer
  • Customer complaint & feedback
- Cost saving recommendation and involvement; like diesel control, reduction in idling hours, accurate overtime etc.

- Timely submission of documents such as Trip sheets, vouchers etc.

- Team Management & Employee Engagement.

- Punctuality & sincerity.

- Preventive Action & Planning.

- Resources Utilization.

- Trainings of report staff (Direct and in-direct).

- QHSE initiatives.
