Operations Manager
to streamline our processes, optimize efficiency, and support our growing business.
Role Overview
The
Operations Manager
will be responsible for overseeing daily operations, improving internal processes, and ensuring smooth collaboration across departments. This role requires a highly organized, results-driven individual with strong leadership and problem-solving skills. The ideal candidate will have experience in creative industries, digital marketing, or production environments.
Key ResponsibilitiesOperational Efficiency & Process Management
Oversee day-to-day agency operations, ensuring smooth workflow across creative, production, and client servicing teams.
Develop, implement, and optimize operational processes to enhance efficiency and productivity.
Manage resource allocation, ensuring projects are delivered on time and within budget.
Own and manage
Productive
(project management software), ensuring accurate time tracking, task assignments, and team accountability.
Enforce best practices in time management, reporting, and internal communication.
Ensure all team members are aligned with Capital D Studio's operational policies and guidelines.
Financial & Resource Management
Work closely with the finance team to track budgets, project costs, and profitability.
Oversee supplier and freelancer agreements, ensuring optimal pricing and terms.
Implement cost-saving initiatives without compromising quality and output.
Monitor revenue streams and work with the leadership team to identify new opportunities for growth.
Team & Workflow Coordination
Serve as a key liaison between creative, production, and business development teams to ensure seamless collaboration.
Monitor workloads, deadlines, and deliverables, flagging any potential bottlenecks.
Support the recruitment, onboarding, and training of new employees to maintain high team performance.
Enforce
mandatory login and logout via Connect Team
for accurate tracking of work hours.
Eliminate work-related communication on
WhatsApp
, ensuring all discussions remain within official platforms.
Client & Project Management Support
Ensure client expectations are met by maintaining clear timelines and deliverables.
Support the leadership team in contract negotiations and client onboarding.
Improve client servicing efficiency by refining project timelines and communication strategies.
Reporting & Performance Analysis
Generate regular reports on team productivity, project profitability, and operational bottlenecks.
Analyze performance data and provide recommendations for improvement.
Present operational insights to senior management to inform decision-making.
Requirements
5+ years of experience
in operations, project management, or agency management within a creative, marketing, or production environment.
Strong understanding of
agency workflow, project timelines, and budget management
.
Proficiency in
Productive, Connect Team, Slack, Google Workspace, and other project management tools
.
Excellent organizational and problem-solving skills with a
solutions-oriented mindset
.
Strong leadership skills, capable of managing cross-functional teams.
Ability to work in a
fast-paced, high-pressure
environment while maintaining attention to detail.
Experience managing suppliers, freelancers, and third-party vendors.
