We are seeking a highly qualified Operations Manager to oversee the secure and efficient management of our high-value asset management facility. This role encompasses the management of logistics, inventory control, IT systems, client services, and operational support functions. The position ensures compliance with local and international regulations, particularly AML (Anti-Money Laundering) and KYC (Know Your Customer) protocols, while maintaining operational integrity and high standards of security.

Key Responsibilities:



Operations Oversight:





Oversee and manage all aspects of facility operations, including secure storage and transportation of high-value assets. Implement streamlined procedures and workflows to optimize efficiency in inventory control, client services, IT systems, and administrative processes. Develop and monitor key performance indicators (KPIs) to measure operational efficiency, security effectiveness, and client satisfaction, using these insights to drive continuous improvements.

Inventory Management:





Ensure accurate and real-time tracking of inventory through technologies like RFID and barcode systems. Maintain a robust inventory management system that supports the secure and compliant handling of all stored assets.

Client Services:





Manage high-level customer interactions, ensuring exceptional service while maintaining confidentiality and security standards. Address and resolve escalated client requests or issues in coordination with the client services team.

IT & Systems Integration:





Oversee the implementation and maintenance of IT systems critical to facility operations, including security, asset tracking, and inventory management systems. Ensure that all operational processes are supported by advanced technological solutions to improve efficiency and security.

Compliance & Risk Management:





Ensure full compliance with AML, KYC, and other relevant regulations, working closely with the Compliance and Risk Management teams to mitigate operational risks. Continuously review and enhance internal controls and security measures to safeguard assets and operational processes. Maintain awareness of international compliance standards, aligning operations with global best practices in high-value asset management and security.

Crisis Management and Contingency Planning:





Design and implement crisis management protocols and contingency plans to handle unforeseen events, ensuring rapid response and minimal disruption to facility operations.

Logistics & Security:





Oversee the inbound and outbound logistics for secure transportation of assets, ensuring all legal, procedural, and security standards are met. Maintain and enforce strict security protocols to safeguard the facility and its operations, including access control and asset handling procedures.

Team Leadership:





Lead and manage teams responsible for operations, IT, inventory control, client services, and administrative support, ensuring all departments work collaboratively to meet operational goals. Provide mentorship and development opportunities to staff, fostering a high-performance culture.

Vendor and Partnership Management:





Manage relationships with external vendors and partners, ensuring that service standards align with the company's security and operational goals.

Facility & Maintenance Management:





Collaborate with the maintenance team to ensure that the facility and its systems are well-maintained and compliant with safety, security, and regulatory standards. Explore opportunities to improve operational sustainability and resource efficiency, incorporating eco-friendly practices into facility management and logistics wherever possible.

Reporting & Documentation:





Prepare regular reports on operational performance, security measures, inventory control, and compliance, and present them to senior management. Ensure the accurate documentation and archiving of all facility-related activities, transactions, and compliance checks.

Deputy to CEO:





Act as the primary deputy to the Managing Director/CEO, taking full responsibility for managing the facility in their absence.

Requirements



Education:

Bachelor's degree in Finance, Banking, Business Administration, Logistics, Security Management, or a related field.

Experience:

Minimum 15-18 years of experience in operations management, ideally in a high-security or financial environment.

Compliance Knowledge:

Strong understanding of AML, KYC, and compliance protocols, particularly in asset or inventory management. Familiarity with international compliance standards and regulations.

Leadership Experience:

Proven ability to manage and motivate a diverse, multi-disciplinary team.

Technical Expertise:

Expertise in inventory management systems and technologies such as RFID and barcode systems.

Communication Skills:

Advanced English proficiency required for communication with clients, stakeholders, and management.

Customer Service Orientation:

Excellent communication skills with a strong focus on client satisfaction.

Confidentiality and Security:

Ability to work in a highly secure, regulated, and confidential environment.

Problem-Solving Skills:

Strong problem-solving, organizational, and decision-making skills.

Logistics Knowledge:

Familiarity with secure logistics and transportation of high-value assets is highly desirable.

Preferred Qualifications:





Experience in high-value asset management, financial services, or high-security environments. Professional certifications such as Certified Protection Professional (CPP), Certified Fraud Examiner (CFE), or related asset management and security certifications are highly desirable. Certifications in compliance, risk management, or relevant operational areas.
