Main Duties and Responsibilities:
Oversee daily schedules and manage the monthly rota to ensure adequate Behavior Interventionist (BI), Registered Behavior Technician (RBT) and Applied behavioral Analysis Therapist (ABAT) coverage. Adjust schedules as needed to resolve conflicts and maintain operational efficiency.
Allocate and manage booking slots to optimize resource use and prevent scheduling conflicts.
Ensure smooth coordination of client appointments and service delivery.
Engage with clients to negotiate and finalize service agreements.
Ensure mutual satisfaction and alignment with company policies and objectives.
Draft, review, and manage service agreements to formalize commitments and set clear expectations.
Ensure agreements comply with legal and company standards.
Prepare and issue accurate quotations and invoices to clients.
Monitor payment schedules, follow up on outstanding invoices, and ensure timely processing.
Monitor and record staff working hours to ensure accurate payroll processing and effective management of staffing levels.
Manage the check-in and check-out process for staff to track attendance, punctuality, and adherence to work schedules.
Oversee logistical aspects of operations to ensure timely and efficient delivery of services.
Manage inventory and coordinate with suppliers as needed.
Handle and respond to client inquiries. Provide timely information, address concerns, and ensure high levels of client satisfaction and retention.
Assist in achieving sales targets by tracking performance metrics, identifying growth opportunities, and supporting sales initiatives.
Maintain and update the client database to track interactions, manage relationships, and support engagement strategies.
Oversee recruitment efforts on LinkedIn and other platforms. Develop job postings, screen candidates, coordinate interviews, and manage the hiring process with the General Manager and Asst. Clinical Supervisor
Prepare and submit regular reports on operational performance. Include progress on key initiatives, pending tasks, and any issues requiring management attention.
Identify areas for process improvement and implement strategies to enhance operational efficiency. Address operational challenges and streamline workflows.
Ensure adherence to company policies, industry regulations, and quality standards. Conduct regular audits and implement corrective actions as needed.
Assist in managing operational budgets. Monitor expenses, analyze financial reports, and contribute to cost-saving initiatives.
Utilize and manage operational software and tools to support tasks and improve productivity. Ensure effective use of technology in operations.
Foster a collaborative work environment. Support team members, facilitate communication, and promote a positive and productive team culture.
Participate in client clinic team meetings, staff meetings, and mandatory training workshops.
