is responsible for overseeing daily operations related to diesel trading and ensuring accurate financial recording of all transactions. This role bridges the gap between logistics, customer service, and accounting--ensuring smooth product flow, proper documentation, timely billing, and accurate financial reporting.
Key Responsibilities
1. Operations Coordination
Coordinate daily fuel orders, deliveries, and dispatch schedules.
Liaise with transporters, depots, and clients to ensure timely and accurate deliveries.
Monitor stock levels at depots and trucks; report variances or shortages.
Prepare and verify delivery notes, load confirmations, and weighbridge slips.
Communicate closely with sales, logistics, and supply teams to manage daily operations.
Maintain records of diesel movements, client volumes, and supplier transactions.
2. Accounting & Financial Coordination
Prepare customer invoices and ensure timely billing after delivery completion.
Record supplier invoices, fuel purchases, and expenses in the accounting system.
Reconcile accounts receivable and payable, ensuring accuracy and timely payment follow-up.
Prepare daily, weekly, and monthly financial summaries of diesel sales and margins.
Assist with bank reconciliations, petty cash management, and expense tracking.
Support end-of-month and end-of-year financial closing procedures.
3. Documentation & Compliance
Maintain all delivery and financial documents in an organized manner.
Ensure compliance with tax and regulatory requirements (e.g., VAT invoices, fuel permits, weighbridge slips).
Prepare reports and documentation for internal audits or management review.
Support health, safety, and environmental (HSE) procedures within operational activities.
Qualifications
Education:
Bachelor's Degree in Accounting, Business Administration, Finance, Supply Chain, or related field.
Experience:
2-5 years of combined experience in
operations coordination
and
accounting
.
Skills & Competencies:
Strong understanding of accounting principles and operational workflows.
Proficient in Microsoft Excel, accounting software (e.g., QuickBooks, Tally, SAP), and MS Office Suite.
Excellent attention to detail and numerical accuracy.
Strong communication and coordination skills.
Ability to manage multiple tasks in a fast-paced trading environment.
