We are looking for a highly organized, proactive, and detail-oriented logistics and operation executive to join our dynamic team. The successful candidate will be responsible for the end-to-end management of our internal heavy truck drivers, including the external drivers, ensuring the timely and compliant cross-border shipment of our clients' cargo. This role requires strong communication skills, a meticulous approach to record-keeping, and a commitment to operational efficiency and safety.

Key Responsibilities:



Driver Management & Follow-up:



Serve as the primary point of contact for internal heavy truck drivers, providing instructions and support for cross-border shipments. Proactively follow up with drivers to track their progress and ensure adherence to planned routes and schedules. Address any immediate issues or concerns raised by drivers during transit.

Shipment Timeline Management:



Maintain an updated and accurate timeline for all cross-border shipments, from dispatch to delivery. Communicate any potential delays or changes in schedule to relevant stakeholders promptly.

Proof of Delivery (POD) Acquisition:



Ensure the timely and accurate acquisition of Proof of Delivery (POD) from drivers upon successful completion of each shipment. Verify the completeness and accuracy of POD documents.

ERP System Management:



Accurately record and retain all shipment records and details in the company's ERP system. Ensure all relevant information, including shipment status, driver details, and PODs, are meticulously entered.

Compliance & Regulations:



Monitor and ensure that all internal heavy truck drivers are continuously compliant with UAE road rules and regulations, including traffic laws, weight restrictions, and documentation requirements. Stay updated on any changes to cross-border shipping regulations relevant to our operations.

Truck Maintenance Coordination:



Maintain an updated record of internal truck maintenance schedules and requirements. Coordinate with the maintenance department to ensure timely and preventive maintenance for the heavy truck fleet, minimizing downtime.

Health, Safety & Environment (HSE) Compliance:



Promote and ensure adherence to all Health, Safety, and Environment (HSE) policies and procedures by internal drivers during their operations. Report any HSE incidents or concerns immediately.

Accountability:



Accountable for the on-time delivery of cross-border shipments by internal heavy truck drivers. Accountable for the accuracy and completeness of all shipment data entered into the ERP system. Accountable for ensuring internal drivers' compliance with UAE regulations and company HSE policies. Accountable for the timely acquisition and submission of PODs.

Authorities

:

Authority to communicate directly with internal heavy truck drivers regarding shipment instructions, timelines, and compliance. Authority to request and verify shipment documentation from drivers (e.g., PODs, customs papers). Authority to escalate non-compliance or critical issues to the management. Authority to access and update shipment information within the ERP system.

Skills & Qualifications:



Bachelor's degree in logistics, supply chain management, business administration, or a related field. Minimum of 3-5 years of experience in logistics operations, with a strong focus on fleet management and cross-border transportation, preferably within the UAE. Proven experience in managing internal drivers and ensuring operational efficiency. Excellent understanding of UAE road rules and regulations pertaining to heavy vehicles and cross-border shipments. Proficiency in using ERP systems or similar logistics management software for data entry and reporting. Strong organizational skills and exceptional attention to detail. Excellent communication (written and verbal) and interpersonal skills. Ability to work independently and as part of a team in a fast-paced environment. Problem-solving attitude and ability to handle unexpected challenges effectively. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Fluency in English is required; Arabic proficiency is a plus.
