Job Description

As a receptionist at RFZ Real Estate, you will be the first point of contact for clients, visitors, and employees. You will play a crucial role in providing excellent customer service and creating a positive first impression of our company. Your primary responsibilities will include greeting and assisting visitors, answering phone calls, and performing administrative tasks to support the smooth operation of our office. Responsibilities: Welcoming Visitors:Greet and welcome clients, guests, and employees in a friendly and professional manner.
Direct visitors to the appropriate person or department.
Ensure visitors sign in and issue visitor badges as necessary. Managing Phone Calls:Answer and direct incoming phone calls to the appropriate individuals or departments.
Provide information about the company, its services, and office hours.
Take accurate messages and deliver them promptly to the intended recipients. Administrative Support:Perform general administrative duties, including photocopying, scanning, filing, and data entry.
Maintain and update various office records, databases, and documents.
Assist with sorting and distributing incoming mail and packages.
Manage office supplies and order replenishments when necessary. Scheduling and Coordination:Schedule appointments, meetings, and conference rooms as requested.
Coordinate travel arrangements and accommodations for employees, as needed.
Assist in organizing company events, conferences, or other special occasions. Communication and Customer Service:Provide excellent customer service and promptly address inquiries or requests.
Effectively communicate with clients, visitors, and employees to ensure a positive experience.
Assist in resolving any issues or complaints in a professional and courteous manner. Requirements: Education and Experience:High school diploma or equivalent. Additional administrative or customer service training is a plus.
Prior experience in a receptionist or customer service role is preferred but not mandatory. Professional Skills:Excellent verbal and written communication skills.
Strong interpersonal skills with the ability to interact professionally with diverse individuals.
Proficient computer skills, including MS Office (Word, Excel, Outlook). Organizational Abilities:Exceptional organizational and multitasking skills.
Detail-oriented and capable of managing multiple priorities efficiently. Professionalism:Demonstrates a high level of professionalism, confidentiality, and reliability.
Maintains a neat and presentable appearance. Adaptability:Ability to adapt quickly to changing priorities and work well under pressure.
Willingness to take on additional responsibilities as needed.
