Nourishing Dubai is seeking a mature, proactive and highly organized Office Manager to oversee day-to-day operational tasks across HR, client onboarding, logistics, purchasing, and administrative functions. This person will be central to ensuring smooth communication between the kitchen, drivers, clients, and suppliers while maintaining the high standards Nourishing Dubai is known for.
Roles & Responsibilities
HR & Staff Administration
Maintain updated records of staff information and company documents
Prepare monthly salary sheets with attendance, overtime, holidays worked, and deductions
Track and manage visa renewals, training renewals, and insurance renewals
Organize staff birthdays and milestone celebrations
Coordinate with suppliers for equipment maintenance and office service needs
Delivery & Logistics
Upload daily delivery data to the 3rd-party delivery courier
Generate and print delivery cards and meal stickers for each client
Prepare daily driver delivery lists in coordination with the kitchen schedule
Update delivery calendars for paused days due to client travel
Block recipes for individual clients based on intolerances or preferences
Purchasing & Procurement
Create and send Local Purchase Orders (LPOs) to registered suppliers
Place online orders from supermarkets for unavailable ingredients (bi-weekly)
Distribute and track petty cash spending with accurate logging of each transaction
Administration
Keep the office space organized and clutter-free
Maintain a tidy desktop environment with updated sticker templates, staff files, and reference materials
Monitor and manage inventory of printed materials, stationery, and office supplies
Print necessary labels, cards, and documentation using available office hardware
Client Servicing & Onboarding
Upload new client data to the internal system and generate invoices, payment links, and meal calendars
Reconcile incoming payments daily and follow up on pending dues; discontinue meals if unpaid
Calculate macro breakdowns for each client based on plan specifications
Respond promptly to client requests regarding intolerances, meal adjustments, travel dates, and general inquiries
Proactively contact clients 3 days before plan expiration to encourage renewal
Software Proficiency Required
Adobe Illustrator - basic skills to duplicate and edit existing sticker templates
Google Sheets - strong knowledge of formulas for macros, calendars, and salary sheets
Gmail - daily communication with clients and suppliers
Printer/Scanner Operations - for meal stickers, cards, and documentation
Ideal Candidate Profile
Strong attention to detail and organizational skills
Excellent communicator (spoken and written)
Ability to multitask and handle a fast-paced environment
Problem solver who takes initiative and ownership of their role
Previous experience in food service, operations, or client services is a plus

Pay: AED4,000.00 - AED5,500.00 per month
