Skills & Competencies:

  • Excellent written and verbal communication skills in English and Russian (Mandatory)
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Word).

  • High level of discretion and ability to handle confidential information.
  • Client-focused with a proactive and problem-solving attitude.
Education & Qualifications:
  • Bachelor's degree in Business Administration, Management, Human Resources, or related field
  • 3-5 years of experience in administrative roles, executive assistance, or office management
  • Professional appearance and demeanour.
Description
In this role, you will oversee daily office operations, serving as the central coordinator to support leadership and ensure a productive work environment.
Your role is key to enabling staff to deliver client work efficiently and without operational disruptions.
Role & Responsibilities:
  • Manage the day-to-day operations of the office, ensuring that all processes run smoothly and efficiently
  • Coordinate office supplies, equipment, repairs, and liaise with building management and external vendors
  • Facilitate communication between departments and ensure that information flows effectively throughout the organization
  • Manage the reception area
  • Manage seating plans and onboarding space for new hires
  • Provide executive support to senior leaders, including calendar management, travel arrangements, and meeting coordination as required
  • Prepare presentations, reports, and internal communications as required
  • Maintain organized filing systems (digital and physical) for operational and compliance documentation
  • Assist with vendor contracts, invoice approvals, and office budget tracking
  • Coordinate expense reporting and procurement of services or supplies
  • Identify and implement improvements to operational processes and tools
  • Support internal projects, initiatives, and change management efforts
