Job Summary: Looking for an Office Assistant in Dubai, United Arab Emirates (UAE)

Job Key Details:
  • Perform general administrative duties such as managing phone calls, responding to emails and handling correspondence
  • Welcome and assist clients, visitors as well as vendors in a professional and friendly demeanor
  • Maintain and update office records, files as well as databases accurately and efficiently
  • Coordinate and schedule appointments, meetings as well as conference rooms.
  • Assist in the preparation and distribution of various documents, including memos, presentations and reports
  • Collaborate with different departments to facilitate effective communication and workflow within the office
  • Manage office supplies as well as inventory and place orders when necessary
  • Assist in organizing company events, conferences, and seminars.
  • Handle incoming and outgoing mail, packages as well as deliveries
  • Maintain a clean and organized office environment including managing reception area and common areas
  • Assist in managing office equipment including printers, copiers and fax machines
  • Assist in marketing and advertising activities including updating listings and coordinating promotional materials
  • Stay updated on real estate market trends as well as developments to provide accurate information to clients and colleagues
  • Uphold confidentiality and handle sensitive information with utmost professionalism and discretion
  • Conduct any other related tasks as may be required
Job Qualifications and Experience
  • The applicant must have practical experience as an office assistant, administrative assistant or in a similar role
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent communication skills, both written and verbal.
  • Proficient in using office software, including MS Office (Word, Excel, PowerPoint) and email management
  • Attention to detail and high level of accuracy in performing tasks
  • Exceptional customer service skills with a professional and friendly demeanor
  • Ability to work independently as well as part of a team
  • Familiarity with the real estate industry and related terminology is a plus
  • Candidates in the UAE are preferred
