The Office Administrator plays a central role in ensuring smooth day?to?day operations within a leading Cybersecurity & Networking Solutions company. This position requires a proactive, detail?oriented professional who can manage customer interactions, coordinate with vendors, prepare quotations, track renewals, and support internal teams with administrative and operational tasks. The role demands strong communication skills, accuracy, and the ability to manage multiple priorities in a fast?paced technology environment.
Serve as the primary point of contact for customer inquiries, service requests, and general communication.
Maintain professional and timely communication with clients regarding quotations, project updates, renewals, and follow?ups.
Coordinate with the technical and sales teams to ensure customer requirements are accurately captured and delivered.
Vendor & Partner Management
Communicate with vendors, distributors, and technology partners for pricing, product availability, and service coordination.
Maintain updated vendor records, agreements, and product catalogs.
Assist in procurement activities, including obtaining quotes and processing purchase orders.
Quotation & Documentation Management
Prepare accurate quotations for cybersecurity products, networking solutions, AMC contracts, and service offerings.
Ensure all quotations follow company pricing structures, approval workflows, and branding standards.
Maintain organized records of quotations, proposals, invoices, and related documents.
License & Contract Renewals
Track renewal dates for cybersecurity licenses, subscriptions, support contracts, and AMC agreements.
Coordinate with customers and vendors to ensure timely renewals and avoid service interruptions.
Maintain a renewal calendar and follow up proactively with clients.
Administrative & Office Operations
Manage daily office operations, including scheduling, correspondence, filing, and supplies.
Support HR and finance teams with documentation, onboarding coordination, and basic reporting.
Assist in preparing presentations, reports, and internal communication materials.
Ensure compliance with company policies, data confidentiality, and cybersecurity best practices.
Required Skills & Qualifications
Bachelor's degree in Business Administration, IT, or related field.
2-5 years of experience in office administration, preferably in IT, cybersecurity, or technology services.
Strong communication and interpersonal skills.
Proficiency in MS Office (Word, Excel, PowerPoint) and CRM/ERP systems.
Ability to prepare quotations with accuracy and attention to detail.
Strong organizational and multitasking abilities.
Familiarity with cybersecurity products, networking solutions, or IT service workflows is an advantage.
Ability to work independently and handle confidential information with professionalism.
