. This role manages all administrative tasks, oversees the client booking process from initial inquiry through service coordination, and ensures seamless internal and external communication. This position requires high levels of professionalism, organizational skills, and a consistently cheerful demeanor when interacting with clients.
Key Responsibilities
Event Booking & Client Management
Handle Inquiries:
Serve as the primary point of contact for new client inquiries, understanding their event needs and providing initial information on our entertainment services.
Booking Management:
Manage the entire booking pipeline, including preparing initial quotes, drafting service contracts, and maintaining an accurate, up-to-date
event calendar
and client database.
Client Coordination:
Liaise directly with clients to finalize event details, confirm timelines, and ensure all planning elements align with their vision and contractual agreements.
Payment Processing:
Track and process all client payments, deposits, and final invoices related to event bookings.
Communication
: Serve as the primary liaison between the executive/talent and clients, managers, agents, and other industry contacts.
General Office Administration
Manage office supplies, incoming and outgoing correspondence, and maintain an organized digital filing system.
Assist the CEO and team with scheduling meetings, preparing reports, and general administrative support as required.
Coordinate complex domestic and international travel arrangements (flights, hotels, ground transportation, and detailed itineraries).
Prepare for meetings (creating agendas, presentations, and compiling scripts or project materials).
Qualifications
Experience:
2+ years of experience in office administration, booking, client services, or event coordination, preferably within the entertainment, hospitality, or events industry.
Communication:
Exceptional written and verbal communication skills in both English and Arabic with the ability to convey professionalism and enthusiasm in client interactions. Other languages are a plus.
Travel:
Must be willing and able to
travel frequently and work flexible hours
based on event schedules (including evenings and weekends).
Organizational Skills:
Proven ability to manage multiple complex bookings simultaneously, meet strict deadlines, and maintain meticulous attention to detail.
Technical Proficiency:
Proficient in Microsoft Office Suite (Word, Excel) and experience with calendar management and CRM/booking software.
