Job Description

Aufgaben

Main tasks
  • Responsible to facilitate/coordinate various management forums and follow-up with various executives, stakeholders towards timely closure of action points. Highlight areas of concern, risks that may hinder smooth Operations.
  • Responsible for calendar management for the Head of Operations (HoO). Experience maintaining and prioritizing a manager’s calendar.
  • Responsible for maintaining company records, setting up and managing both electronic and paper filing systems.
  • Responsible for planning and execution of events and visits involving senior management and guests from HQ.
  • Manage the flow of information from and to members of the leadership team & other management forums including HQ in Germany.

Develop and implement office procedures
  • Maintain department schedule by maintaining calendars for department personnel; arranging meetings, conferences, teleconferences, and travel.
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Monitor Cash Outflow requests, report preparation and timely submission.
  • Prepare Presentations for different Forums (Workshops, Meetings, Town Halls, etc.).
  • Petty Cash Handing and settlement.

Training and qualification:
  • Project Management
Technical knowledge:
  • Technical knowledge in automotive industry

Soft skills/individual competence:
  • Excellent command of English Language (German language is a plus)
  • Excellent computer skills, especially MS Office (Word, Powerpoint, Excel, Outlook)
  • Strong communication & interpersonal skills
  • Attention to detail and analytical ability
  • Ability to work across hierarchy
  • Ability to proceed with problems in a structured manner, takes initiatives, willingness to learn, acts results-oriented, self-motivated
Experience:
  • Experience in top management assistance function, especially in administrative and technical areas.
Reasonable know-how of intercultural aspects, especially German and Egyptian culture.
