Job Description

  • Represents the Front Office or the hotel in the absence of Senior Management.
  • Support the Night Audit in his nightly work.
  • Run all night audit procedures and print all necessary reports.
  • Performs night audit duty when required.
  • Maintains smooth hotel operations by attending to guest complaints, requests, and inquiries.
  • Makes the necessary rounds of the entire hotel property and inspect as outlined in the duty manager's checklist and submit reports as required.
  • Frequently reviews the arrival list thus ensuring that all VIPs and special room requests are blocked, and to escort VIP guests to their rooms.
  • Promote in-house sales by having thorough knowledge of the hotel facilities and daily hotel activities.
  • Inform the housekeeper, room service, etc. of special requests, early and late departures, room changes, taxis, newspaper requests and all other important information.
  • To be fully conversant of the reservation system of the hotel.
  • Assists and takes room reservations in the absence of the reservation staff.
  • Checks the registration forms and correct transfer of the data in the system.
  • Coordinates with Front Office Receptionist / Cashier in handling guest problems upon check-out.
  • Checks billing instructions and monitors guest credit.
  • Analyzes and approves discounts and rebates.
  • Performs front desk duties when business demands.
  • Take over from the previous shift and pass on all relevant information to the next, including the volume of business, special guests or events, and items to be clarified or completed.
  • Ensures guest's satisfaction and repeat business by providing effective and efficient service in line with responsibilities entrusted.
  • Deals with any guests' complaints concerning the service and performance extended by the department
  • Makes regular quality control inspection within the department
  • Agrees and maintains quality service standards in conjunction with hotel policies and guidelines.
  • Assists in the preparation of the departmental budget and to control costs within the department.
  • Analyzes the rate variance report to ensure rooms and revenue control.
  • Organize regular departmental inventories.
  • Responsible for the control and issue of the materials and equipment, maintenance of records of same, and to ensure secure and safe storage.
  • Ensures that all the required equipment and supplies are to hand and in good working order.
  • Observe and report on the need for repairs and maintenance of furniture, fitting, and equipment.
  • Deal with all special requirements which concerns the department.
  • Discuss policies and priorities with senior management.
  • Keep senior management informed of the latest ideas affecting the operation of the department.
  • Have and maintain effective communication with other Department Heads or Line Managers.
  • Adheres to set procedures for attendance and timekeeping.
  • To carry out other duties and responsibilities as assigned by the Director of Operations or Senior Management.
