Reporting to: Operations Manager Role Overview: The Meetings and Events Planner will serve as the primary client liaison and team lead for meetings and events with varying degrees of complexity, as assigned by the Operations Manager and/or Project Manager. This position will be responsible for overall program management, from the early pre-planning stages through final billing and operational execution and will be responsible for managing various meetings and events at any given time. Project management work will include, but will not be limited to, creating and leading logistics and production teams, project budget creation and reconciliation, collaborating with internal associates and external partners, managing project timelines, and contract negotiations. Additionally, this role will support meetings and events colleagues on a larger scale. Main responsibilities Meeting/Event Planning Process. Serves as primary client liaison, identifying stakeholder needs and ensuring delivery to meet their needs. Determines purpose of assigned meetings, prepares a project plan with specifications, and obtains pertinent historical information related to program. Manages and balances various meetings and events, or larger meetings and events support activities, simultaneously. Identifies stakeholder needs, prepares program outlines (topics, content, speakers), designs program details to meet needs of participants, identifies successful criteria for evaluation of meeting and determines technology requirements. Performs time tracks as requested by management. Develops and manages a strategic project plan with established milestones and critical path. After objectives are identified and a project plan is created, prepares a team of internal associates and external suppliers that will deliver against these objectives. Responsible for delivering objectives within budget and ensuring project timeline is progressing but is also responsible for managing the workload among his/her team. Proactively escalates potential client, program, or delivery issues for timely resolution. Supports colleagues and events throughout the department on a larger scale. You could be working as project lead or as support on a larger meeting. Assess current event strategy to determine its effectiveness relative to desired business objectives. Create and communicate a business point of view to influence the decision making of clients, peers, and other key internal customers. Develop and maintain event-related relationships with external senior management stakeholders. Manage and direct all phases of complex programs from inception to completion, using joint leadership model with natural business owner including identifying and acquiring cross-functional resources, developing the overall innovation project business case, resolving conflicts, identifying, and developing contingency plans, communicating decisions and progress to key stakeholders, and preparing materials for necessary approvals. Excellent familiarity with project management procedures and electronic meeting management tools, and meeting and event industry news, trends, and best practices. Excellent oral/written communication skills to communicate internally and externally, as well as critical thinking skills, attention to detail, customer service, and negotiating skills. Strong organizational skills that can coordinate multiple resources. Ability to remain calm in stressful fast-paced situations, set priorities, multitask, work as a team player, and be self-motivated. Ability to process financial information. Ability to travel and work flexible hours (domestic and international travel may be required. Additionally, weekend and evening work will be required based on the events being supported). Experience and Education College diploma or degree. Minimum 5 years of meeting/event management or comparable experience. CMP or formal Project Management designation preferred. Advanced computer literacy, including proficiency with Microsoft Office, Google Workplace, or similar. Job Type: Full-time Salary: AED5,000.00 - AED8,000.00 per month Ability to commute/relocate:
