Manage the reception team and ensure that they provide exceptional customer service
Assist the owner with one off projects like setting up the Electronic Medical Record system
Make sure the closing holidays checklist is done like updating our times on google
Research on behalf of the owner any requests
Jot on the calendar staff leaves & offsets for all the team and notify the owner for any overlap holidays
Manage events, venue, and studio rental collaborations and prepare invoices
Make sure every email WhatsApp instagram google messages requests from the website are replied in a timely manner
Repost instagram posts
Arrange influencer visits and reply to PR and check what influencers posted
Assist the owner regarding website content by sending to the IT team
Assist the owner regarding marketing by sending any collaborations to the PR team
Make sure the operation is running smoothly on daily basis
Manage any internet issues printer issues anything that will slow operation and escalate it to the relevant IT team
Answers incoming calls and provide answers to clients/patients routine inquiries
Assists clients/patients with booking for appointments
Prepares invoices and claim forms, and handles payments
Handles client/patient feedback and concerns, and escalates to appropriate party as needed
Maintains client/patient information by updating the data entry system and filing documents
Organizes doctors\xe2\x80\x99 and instructors\xe2\x80\x99 schedule on a daily basis
Updates weekly class schedule on the data entry system
Monitors availability of office supplies
Assists clients/patients with the Body Composition Analysis machine
Assists clients/patients with the infrared sauna
Receives payments from clients/patients, print credit card report and close petty cash at the end of the day
Make sure the patients are not waiting for too long without being updated informed and expectations are set
Deal with client complaints and solve them before escalating to the owner
Check website if working fine and not slow & spot any important changes and updates
Arrange folders on desktop
Make sure desk is organised clean and dust free
