Job Description

IRE is looking for a Materials and Logistics Coordinator to support our operations department in overseeing the efficient flow of materials, managing inventory, and coordinating logistics activities. As IRE\xe2\x80\x99s Materials and Logistics Coordinator, you will ensure the smooth and efficient flow of materials, products, and information throughout our organisation. You will oversee all our materials management and logistics operations, including inventory control, warehouse management, and distribution. Your expertise will help us meet customer demands, reduce costs, and improve operational efficiency.

Responsibilities

  • Materials:
  • Receive orders in Epicor on time and verify that these Receipts are posted.
  • Maintain accuracy of inventory (both stocks and consignment between Epicor and the physical items in terms of the quantity, the location (warehouse and bin), serial numbers (as applicable), and other parts attributes.
  • Conduct monthly Stock-takes and Annual inventory checks.
  • Ensure all documentation and certificates related to servicing are created, compiled, and delivered.
  • Manage Vendor Consignment stocks (SMI) by conducting regular stock-takes, generating SMI reports, and communicating directly to Vendors for any consignment-related matters.
  • Manage any 3rd party Warehouse, including, but not limited to, Freight Forwarder warehouses, consignment warehouses, and outsourced warehouses.
  • Generate regular Stock reports as required by any requesting Department (e.g. Sales for sending to Customers, Purchasing for stock planning, etc.).
  • Perform month-end closing activities such as shipping orders for the closing month, verifying pending requests, and other month-end closing tasks.
  • Establishes and implements methods and best practices related to the systems and processes that support inventory forecasting, purchasing, and material control.
  • Logistics:
  • Plan, coordinate, and monitor import and export freight movements and manage the timely flow of customer orders.
  • Contact shipping company/freight forwarder to arrange and issue shipping instructions and materials delivery.
  • Review freight rates and delivery time: air, courier, and land, and recommend the best solution to the Purchasing Manager for approval.
  • Review expediting schedules on all customer orders. Obtains and forwards information to purchasing and sales teams.
  • Prepare and complete documentation such as delivery notes, packing lists, bills of lading, work orders and shipping orders.
  • Adhere to shipping/receiving and regulatory-compliance procedures.
  • Review and verify the shipping documents from Freight Forwarders.
  • Responsible for arranging a Certificate of Origin from the Chamber of Commerce and all duty customs sales and tax functions, including certification and verification, drawback, and compliance with statutory rules and regulations.
  • Reporting:
  • Utilise data analytics tools to track and analyse key performance indicators, making data-driven decisions to improve efficiency and reduce costs.
  • Prepare regular reports and presentations for senior management.
  • Team Leadership:
  • Supervise a team of materials handlers. Provide guidance, training, and support to ensure team members perform at their best.
  • Compliance and Safety:
  • Foster a culture of continuous improvement and accountability within the department.
  • Participates as a member of the operations team in making cross-functional operational decisions.
  • Document and escalate any customer or vendor service issues and nonconformance related to shipping or receiving activities.
  • Maintains a safe and healthy work environment by implementing, maintaining and aligning company policies
Requirements
  • Bachelor\'s degree in business, logistics, supply chain management, or a related field.
  • Minimum 3 years experience in materials and logistics coordination, preferably in JAFZA or any Free zones within UAE.
  • Strong understanding of inventory management and familiarity of modern warehousing practices and methods.
  • Excellent organizational and time management skills, with the ability to prioritize and multitask effectively.
  • Strong analytical and problem-solving abilities, with a keen attention to detail.
  • Exceptional communication and interpersonal skills, with the ability to build and maintain relationships with internal and external stakeholders.
  • Proficient in using any ERP, although experience in Epicor is preferred.
  • Advanced level user of Microsoft Office Suite (esp. Excel, Word, & Outlook).
  • Ability to work independently and collaboratively in a team environment.
  • Flexibility to adapt to changing priorities and deadlines.
  • Knowledge of safety and compliance regulations related to materials and logistics operations.
  • Valid UAE driver\'s license is preferable.
