Responsibilities \xc2\xa7 Compile and create the department\xe2\x80\x99s monthly listings document that shows events upcoming for the month ahead and is used to drive the marketing process from artwork request through to release of artworks and information to the public. \xc2\xa7 Ensure events sheets received from operational departments are kept updated in an orderly manner on the shared drive for immediate reference and that any updates post-receipt are applied across the marketing process for that month on all channels and artworks. \xc2\xa7 Independently create press releases relevant to key events and occurrences at the hotel, both in accordance with the marketing plan, and as required according to hotel operations/management decision. \xc2\xa7 Monitor all relevant print and online media/sources/accounts for news relating to the hotel and its business units or our competitors \xe2\x80\x93 files & report accordingly. \xc2\xa7 Act as gatekeeper for all translation services required for marketing operations, personally translating or liaising with 3rd party service providers as required for the project in question. \xc2\xa7 Prepare and release weekly/monthly reports and attend marketing meetings as required \xc2\xa7 Under the direction of the MCM/Asst. MCM, act as a point of contact for the hotel\xe2\x80\x99s media relations activities, inviting contacts for key events, releasing press releases etc while maintaining 100% compliance to established SOP. \xc2\xa7 Manage the content creation process for hotel and 3rd party requirements in its entirety. Identify need areas for all business units and arrange for content to be created, manage shoots from inception to execution and receipt of deliverables. Act as gatekeeper for requests by 3rd parties to conduct photo/video shoots on hotel premises, overseeing the request process and being present on the day of the shoot to ensure guidelines are properly followed. \xc2\xa7 Co-research competitive products alongside Marcom Coord. by identifying and evaluating product characteristics, market share, pricing, and advertising; maintaining research databases. (within reason, and while not encroaching upon the responsibilities of other departmental resources & responsibilities) Public Relations \xc2\xa7 Refer requests for information from the media to an appropriate spokesperson or information source. \xc2\xa7 Prepare or edit letters, invitations, monthly and quarterly press reports, and news releases, using word processing, spreadsheet, database, or presentation software. \xc2\xa7 Handle magazine photo shoots on property. \xc2\xa7 Support activities and initiatives to bolster the property\'s reputation and image in the media and in the community. \xc2\xa7 Make updates to property website by making changes directly to the website or by coordinating with appropriate others in order to make updates. \xc2\xa7 Support media relations outreach efforts, including pitching ideas and events, interview facilitation, and media tours. \xc2\xa7 When public relations director is not available, respond to all daily general media inquiries via email, phone, and/or written correspondence \xc2\xa7 Coordinate on-property visits from media, including reservations, amenities, special requests, and dining. \xc2\xa7 Update digital library and press clippings as needed. \xc2\xa7 Attend daily line-ups promptly. \xc2\xa7 Monitor media coverage and other external factors to identify potential or actual problem areas and opportunities. \xc2\xa7 File information and update press database, including list of all media contacts and media distribution lists (e.g., contact information, magazine circulation and demographics). \xc2\xa7 Assist with on-site media relations for local events, including, but not limited to, grand openings/anniversaries, marketing/promotional events, and other press functions. Policies and Procedures \xc2\xa7 Follow company and department policies and procedures. \xc2\xa7 Ensure uniform, nametags, and personal appearance are clean, hygienic, professional and in compliance with company policies and procedures. \xc2\xa7 Protect the privacy and security of guests and coworkers. \xc2\xa7 Maintain confidentiality of proprietary materials and information. \xc2\xa7 Perform other reasonable job duties as requested by Supervisors. Guest Relations \xc2\xa7 Welcome and acknowledge every guest with a smile, eye contact, and a friendly verbal greeting, using the guest\'s name when possible. \xc2\xa7 Engage guests in conversation regarding their stay, property services, and area attractions/offerings. \xc2\xa7 Address guests\' service needs in a professional, positive, and timely manner. \xc2\xa7 Thank guests with genuine appreciation and provide a fond farewell. \xc2\xa7 Anticipate guests\' service needs, including asking questions of guests to better understand their needs and watching/listening to guest preferences and acting on them whenever possible. Communication \xc2\xa7 Prepare and review written documents (e.g., daily logs, business letters, memoranda, reports), including proofreading and editing written information to ensure accuracy and completeness. \xc2\xa7 Exchange information with other employees using electronic devices (e.g., pagers and two-way radios, email). \xc2\xa7 Answer telephones using appropriate etiquette including answering the phone within 3 rings, answering with a smile in one\'s voice, using the callers\' name, transferring calls to appropriate person/department, requesting permission before placing the caller on hold, taking and relaying messages, and allowing the caller to end the call. \xc2\xa7 Speak to guests and co-workers using clear, appropriate and professional language. \xc2\xa7 Talk with and listen to other employees to effectively exchange information. \xc2\xa7 Discuss work topics, activities, or problems with coworkers, supervisors, or managers discreetly and quietly, avoiding public areas of the property. Working with Others \xc2\xa7 Develop and maintain positive and productive working relationships with other employees and departments. \xc2\xa7 Support all co-workers and treat them with dignity and respect. \xc2\xa7 Handle sensitive issues with employees and/or guests with tact, respect, diplomacy, and confidentiality. \xc2\xa7 Partner with and assist others to promote an environment of teamwork and achieve common goals. Physical Tasks \xc2\xa7 Enter and locate work-related information using computers and/or point of sale systems. \xc2\xa7 Read and visually verify information in a variety of formats (e.g., small print). \xc2\xa7 Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance.
