We are looking for a highly organized and resourceful Marketing Coordinator to support the daily functions of our marketing team. This role is essential for managing vendor coordination, ensuring smooth interdepartmental workflows, and handling administrative and operational tasks. A good eye for design, quality, and materials is key -- especially when working with external suppliers, reviewing samples, and supporting the production of marketing materials.
Key Responsibilities:
Vendor & Production Coordination
Liaise with external vendors, printers, and agencies to manage timelines, project status, and delivery schedules.
Assist in sourcing and selecting vendors based on quality, cost, and reliability.
Evaluate material samples and print proofs, ensuring alignment with brand standards and production expectations.
Maintain an organized record of vendor details, agreements, and deliverables.
Administrative & Operational Support
Manage invoice processing, bill submissions, and coordination with finance for marketing-related payments.
Track and document marketing spend, and support the team in managing budgets and purchase orders.
Maintain task trackers, project calendars, and campaign timelines to ensure smooth workflow execution.
Project Coordination & Interdepartmental Support
Act as the go-between for the marketing team and other departments (e.g., sales, operations, design, finance) to ensure clear and timely communication.
Support campaign execution by ensuring everyone involved is aligned and tasks are completed on schedule.
Prepare status reports, internal summaries, or follow-up notes for meetings and projects.
Design & Brand Awareness
Use good judgment when selecting marketing materials, promotional items, and layouts in coordination with the design team.
Provide basic feedback on quality and aesthetic when reviewing vendor samples or mock-ups.
Ensure final outputs reflect the brand's quality, tone, and professionalism, without being directly responsible for design or content creation.
Requirements:
Bachelor's degree in Marketing, Communications, Business, or a related field (Preferred but not essential).
1-3 years of experience in marketing coordination, operations, or an administrative role.
Excellent organizational and time-management skills.
Strong attention to detail and a natural eye for quality and design.
Proficient in Microsoft Office (Excel, Word, PowerPoint); familiarity with project/task management tools is a plus.
Strong interpersonal and communication skills -- both written and verbal.
Ability to manage multiple priorities and work well with cross-functional teams.
