Job Description

Purpose & Overall Relevance for the Organisation:

To ensure that the administrational and operational tasks are being fulfilled in a professional and efficient manner for the assigned Senior Leadership Team (SLT) member/Vice President (VP). Administration support may include and is not limited to travel coordination, event planning, and monthly reporting for the SLT and key team members.

Key Responsibilities:
  • Manage the calendar, schedule meetings and, preparing agendas and assist the SLT in staying on track with the daily schedule.
  • Responsible for travel arrangements and requirements, including obtaining visas respectively.
  • Provides smooth communication between the SLT office and internal departments/directors, demonstrating leadership qualities in maintaining open and transparent communication and support to the SLT.
  • Communicates directly and on behalf of the SLT with leadership members and other Senior Directors/Directors on matters relating to the SLT.
  • Assist SLT in meeting preparation and timely communication, both written and oral, with employees and external audiences. This may include drafting correspondence and preparing other required presentations/documentation with minimal supervision.
  • Manage all incoming requests into the SLT office (via mail, phone or email), and making sure they are addressed.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the SLT\xe2\x80\x99s ability to lead effectively.
  • Prioritizes conflicting needs, handles tasks expeditiously, proactively and follows through on projects to successful completion often with tight deadlines.
  • Work with internal audiences and SLT\xe2\x80\x99s direct reports to ensure agendas and deadlines are met.
  • Manage and oversee that all expenses and invoices are processed.
  • Documenting minutes of SLT meetings and other meetings as required.
  • Responsible for arranging any SLT\xe2\x80\x99s offsite meetings and other functions.
  • Undertake special projects under the direction of the SLT and perform other duties as needed.
  • Ad-hoc support with projects, activities and tasks as needed.
Knowledge, Skills and Abilities:
  • Excellent command of English and knowledge of another European language or Arabic will be a plus for the multi-national, multi-cultural organization (written and verbal).
  • Excellent organization, time management and problem-solving skills
  • Advanced MS Office skills
  • Diligent and good attention to details
  • Strong work ethics, can-do attitude, and positive disposition
  • Customer oriented, approachable, and strong interpersonal skills

Requisite Education and Experience / Minimum Qualifications:
  • University degree in Business Administration or related area.
  • 3-5 years\xe2\x80\x99 experience in assisting senior management or leadership teams, ideally within apparel (sports) /fashion/shoes or FMCG industry.
  • Experience working with multinational and diverse teams would be preferred.
