Roles & Responsibilities:
Responsible for all related maintenance requests in the request manager, email, and WhatsApp, coordinating with the maintenance team as per the line manager's instructions, arranging the work, and updating the request status accordingly.
Following up with the maintenance team regarding pending requests and tasks.
Coordinating maintenance activities with other departments to minimize downtime and ensure the efficient use of resources.
Maintaining accurate records of maintenance activities, including work orders, equipment maintenance logs, and inventory records.
Arranging all tools and materials required before work begins.
Ensuring maintenance requests are completed on time.
Reviewing maintenance petty cash and ensuring the accuracy of receipts.
Responding to maintenance-related inquiries via email.
Managing and deploying maintenance personnel effectively based on operational needs.
Ensuring properties are in good condition before transferring them to the leasing department.
Securing property keys and access cards.
Handling overall administrative tasks and assisting the line manager and acting on his behalf for office matters as per SOP/instructions.
Ensuring all required work permits are prepared on time and maintaining access and accounts on mall portals, police sites, and villa/property management systems.
Following up with concerned departments on visa and labor work permits for the maintenance team and ensuring all documents are valid and renewed.
Ensuring compliance with applicable safety and environmental regulations.
Managing maintenance personnel, including training, scheduling, and performance management.
Preparing daily, weekly, and monthly maintenance status reports.
Performing personnel administrative tasks, assigning and monitoring clerical and secretarial functions, and resolving problems.
Performing other related duties as assigned from time to time.
