Job Description

The Logistics Document Coordinator is responsible for overseeing the timely and accurate preparation, processing, and management of all logistics-related documents. This role ensures compliance with regulatory and company standards, supports smooth transportation and shipment processes, and coordinates the flow of necessary documentation between departments, clients, vendors, and authorities.

Key Responsibilities:



Documentation Management:



Prepare and verify all shipping and logistics documents (e.g., bills of lading, customs declarations, packing lists, commercial invoices, certificates of origin, etc.). Ensure all documents comply with international trade regulations, import/export rules, and company policies. Maintain accurate records of all logistics documents for easy retrieval and future reference. Ensure that all shipping documentation is in line with the specific requirements of customers, carriers, and customs authorities.

Coordination & Communication:



Coordinate with internal teams (sales, procurement, warehousing, and distribution) to ensure that documentation aligns with shipments. Act as a point of contact for clients, vendors, customs agents, and transport companies regarding any documentation-related inquiries or issues. Communicate with customs authorities to ensure compliance and resolve any issues or discrepancies related to imports/exports.

Compliance & Regulatory Management:



Ensure that all documents comply with local, national, and international trade laws and regulations (e.g., import/export restrictions, safety standards). Stay updated on changes to global trade regulations and assist the company in ensuring that its logistics operations remain compliant. Facilitate audits of logistics documentation when required, and provide support in customs clearance.

Data Entry & Systems Management:



Input data related to logistics operations into relevant systems and software, ensuring accuracy and consistency. Maintain and update logistics databases, track shipments, and monitor the progress of delivery documentation.

Problem-Solving:



Troubleshoot and resolve any document-related issues that may arise during the shipping or customs clearance process. Handle discrepancies or damages reported by carriers or clients related to shipping documentation.

Reporting:



Generate regular reports on logistics documentation status, highlighting any potential delays or issues that could affect shipment schedules. Provide insights and recommendations for process improvements based on ongoing documentation challenges.

Other Duties:



Support the logistics department with other tasks as required. Assist in the creation and maintenance of logistical SOPs (Standard Operating Procedures) related to documentation.

Qualifications:



Preferring a Qualified MBA in Supply Chain Proficiency in ERP software such as SAP Excellent Communication and Interpersonal Skills Ability to Work Under Pressure and Meet Deadlines Advance Knowledge in MS Excel, Power BI, and other software package.

Experience:



Experience in Documentation management in Agri commodities Having experience in handling cotton would be an advantage Experience in UAE would be an added advantage Communication and handling relation with shipping line

Key Skills and Qualifications:



Education: High school diploma or equivalent required. A degree in Supply Chain Management, Logistics, or a related field is preferred.

Experience:



Previous experience (2+ years) in logistics, supply chain, or transportation documentation management. Familiarity with international shipping, customs clearance, and regulatory requirements.

Technical Skills:



Proficiency with logistics management software (e.g., SAP, Oracle, TMS).

Strong working knowledge of Microsoft Office Suite (Excel, Word, Outlook).

Attention to Detail:



Ability to ensure that all logistics documents are completed accurately and in a timely manner. Communication Skills: Strong written and verbal communication skills for interacting with internal teams, clients, and external partners.

Problem-Solving:



Ability to manage and resolve document-related issues efficiently. Organizational Skills: Excellent organizational and multitasking abilities, able to handle multiple shipments and deadlines simultaneously.

Pay: AED2,500.00 - AED4,500.00 per month
