Job Description

POSITION OBJECTIVE

The job holder will be responsible for supporting the Logistics Manager for purchase order management & data quality in RMS/ SCP within the concept

DO \xe2\x80\x94 Key Responsibilities

Logistics PO Operations

Preparing order template based on buyer\xe2\x80\x99s order sheet and upload in system - RMS

Sending PO and barcode information to supplier and confirm the same based on system data that was input

To coordinate with all the buyers on regular basis updating them on the PO challenges & correction required to ensure data accuracy in systems.

To provide necessary data for all the queries from territories regarding style numbers, price, data, etc on any short / excess supply done to them.

Amendment (QC + Logistics) and stock transfer to be done whenever is required

To do the data entry required in the Concept in an efficient manner, with speed and accuracy.

Submit reports on shipments as & when required

Coordination for providing documents for LC creation to Finance/TCS team.

Shipment Follow Up

To provide CP costing to buyer before order creation

To follow up on the shipments with the suppliers 30 days prior to the shipment date & to get feedback on the shipment. To further follow up & get OK to ship approval from QC 10 days prior to the shipments.

To update the buyer wherever there is no feedback/ delay is intimated & to get the approval of the buyer.

To follow up & receive all copy documents/ original documents from the supplier & arrange for clearing of the consignment.

To intimate the supplier/ buyer in case of discrepant documents. To ensure that Jebel Ali/ Territory are able to clear the goods based on copy documents/ discrepant documents. In case this is not possible, the charges incurred have to be recovered from the supplier after the approval of the Buyer & Finance Manager.

To clarify & respond to all queries of the supplier promptly regarding documentation, markings, nominations, legalization, balance payment & any other issues related to imports.

To coordinate and communicate frequently with Liners/Forwarders and negotiating the best freight/support and lead time.

Shipment Coordination

To nominate all shipments in time & pass on the necessary instructions to the supplier & forwarder. To do the nominations are done based on the guidelines of the freight committee & as per the instructions of the (Senior) Finance Manager.

To get weekly update from forwarders on shipment status & to follow up with forwarders/ suppliers where there is any delay. To coordinate between supplier & forwarder & ensure that shipments are made promptly.

To ensure that all cost calculations are given to the finance manager & approval is obtained for all shipment nominations/ ex works shipments.

To maintain absolute confidentiality of the freight rates received from the various forwarders & to discourage any unnecessary enquiry by any forwarder. To report all such instances promptly to the (Senior) Finance Manager.
