\xe2\x80\x93 Logistics & Accounts Assistant. This position will provide critical commercial administration; supply chain support and coordination; and general administration assistance as needed for company by assisting the Accounts and after Sales Support & Logistics areas; and liaising, as needed, with other key staff across the business. The Logistics & Accounts Assistant reports directly to Finance Manager Key Responsibilities: Purchase & Logistics 1) Coordinate the daily tasks and duties required within the Purchase & Logistics department including entering, processing and filing supply chain documentation. 2) Raising customer files and accumulate sales documentation i.e. Sales orders, quotations, calculation sheets etc. 3) Raise Order acknowledgements., warranty returns note. 4) Prepare export documentation including Packing Lists, Certificate or origin etc. 5) Liaising with insurance company for monthly declarations for marine insurance 6) Arrange import and export shipments. 7) Liaise with couriers and forwarders whilst arranging collections and deliveries. 8) Send customer order acknowledgements and liaise with the customer throughout the complete purchasing process. 9) To enter updates into CRM system, in a timely and accurate manner. 10) To liaise with and build strong relationships with suppliers, customers and colleagues. 11) Provide customers with clear communication and updates on receipt/supply of goods; acting as a first point of contact for issues/complaints. 12) Maintain the return goods return inwards, outwards details and follow up on RMA\xe2\x80\x99s. 13) Maintain the physical inventories and update the SAP system accordingly. 14) Other duties as may be assigned. Accounts & Admin 1) Prepare customer accounts documentation i.e. invoice, pro-forma invoices, commercial invoices etc. 2) Follow up on advance and outstanding payments from customers and record information in CRM software. 3) Send accurate invoices to customers in a timely manner, ensuring accurate filing of original documentation and that a true historical record of information is in CRM software. 4) Prepare payment receipts and arrange collection of payments. 5) Liaise with logistics team and customers regarding collection of payment against delivery of goods. 6) Assist accounts department during interim audits and year end final audits as and when required. 7) Filing and other documentation for HR & Admin related matters 8) Other duties as may be assigned. Key Skills & Capabilities: Essential Skills: 1. Clear understanding and experience in UAE import and export process and documentation requirements including Freezones documentation. 2. Strong understanding of VAT rules in UAE and for import and export. 3. Strong understanding of the spoken and written English language \xe2\x80\x93 articulate and well presented. 4. Be able to work under pressure. 5. Cultural Awareness and sensitivity \xe2\x80\x93 able to work in a multi-cultural and inclusive environment. 6. Good general administration skills and proficient with standard office equipment and software, especially MS Excel and MS Word. 7. Superior ability with numbers and calculations and able to read and interpret basic accounting spread sheets and data. 8. Be able to demonstrate accurate attention to detail and be able to multitask. Education and/or Certification(s): 1) Minimum of 2-3 years of experience in similar role in accounts and purchasing within the UAE. 2) Bachelor\xe2\x80\x99s Degree or diploma in Commerce/Accounts preferred. 3) Certificate in Supply Chain will be preferred 4) Experience with standard MS Office and essential computer skills. 5) Valid UAE driving license with own transportation. 6) Experience with ERP packages desired.
