Job Description

Role Overview
The successful candidate will manage complex diary schedules, document production, travel arrangements, and client interactions. They will support multiple partners, coordinate with the broader secretarial and administrative teams, and play a key role in billing, client onboarding, and expense management processes.
Key Responsibilities
Manage extensive and accurate diaries for multiple attorneys, coordinating meetings, client lunches, and internal events.
Draft, format, and amend legal documents across multiple versions; track changes and ensure consistency.
Organize complex travel, including flights, accommodations, visas, and ground transfers.
Handle telephone queries, messages, and correspondence with discretion.
Support document management, including scanning, printing, binding, and filing of originals and electronic documents.
Assist in the billing process: distribute prebills, liaise with partners and accounts to finalise invoices.
Record attorneys' time entries and manage expense claims, invoice requests, and petty cash reporting.
Facilitate new client file openings and matter setup, ensuring KYC documentation compliance.
Maintain client relationship databases and track development events.
Support reception and meeting room coordination as part of the wider secretarial team.
Provide additional cover for other attorneys as required.
Perform other reasonable duties consistent with the role.
Skills & Experience
Minimum 5 years' experience in a senior secretarial role within a major international law firm.
Strong IT proficiency: Microsoft Office (Word, Excel, PowerPoint, Outlook), Adobe Acrobat DC Pro, iManage, Expert Time, Chrome River, Workshare Professional, and contact management systems.
Strong understanding of document templates, numbering, formatting, and version control.
Person Specification
Excellent organizational, communication, and multitasking skills.
Proactive, professional, and able to work independently and collaboratively.
High level of discretion, confidentiality, and professionalism.
Fluent in English and Arabic, both written and spoken.
Willingness to develop secretarial skills and support tight deadlines when required.
Friendly, approachable, and adaptable to dynamic work requirements.
