Provide administrative assistance to legal staff by managing calendars, scheduling meetings, and preparing correspondence
Organize, file, and maintain case-related documents, ensuring accuracy, proper archiving, and easy retrieval for ongoing and future cases
Serve as the liaison between clients and legal professionals by scheduling appointments, answering inquiries, and maintaining client relationships while ensuring a high level of confidentiality
Responsibilities:
Draft, format, proofread, and edit legal documents, including contracts, pleadings, briefs, and client correspondence, ensuring compliance with legal standards and office protocols
Organize and maintain case files (both physical and electronic) to ensure accessibility and efficiency in the preparation of cases. Track case progress and deadlines
Manage and direct client communication, answering questions, scheduling meetings, and addressing concerns with discretion and professionalism
Ensure timely and accurate submission of legal documents to courts or other legal entities, adhering to filing deadlines and court procedures
Manage and coordinate the calendars of attorneys, ensuring appointments, meetings, and court hearings are scheduled and prepared for in advance
Assist attorneys with client billing, including maintaining records of time spent on cases, creating invoices, and managing billing processes
Conduct legal research as required, including searching for case law, statutes, and regulations to assist legal professionals with case preparation
Arrange travel for legal professionals, including accommodation, flights, and transport for court hearings or business-related trips
Maintain confidentiality of sensitive client and case information in accordance with ethical and legal standards Monitor and maintain office supplies related to legal documentation and office equipment, ensuring smooth day-to-day operations
Assist in preparing legal briefs and documents for trial, ensuring all necessary documents are correctly compiled and formatted for court presentation
Transcribe dictations from attorneys, converting them into final documents or reports in the correct format and style
Coordinate with external parties such as court clerks, notaries, and experts for document submissions or caserelated inquiries
Assist in onboarding new clients by gathering necessary documentation, preparing engagement letters, and ensuring all the initial paperwork is completed
Ensure that legal documents and processes adhere to all relevant regulations, ethical standards, and company policies
Qualifications:
Bachelor's Degree in Paralegal Studies, Legal
Administration, or a related field preferred
Relevant certifications such as the Certified Legal Secretary (CLS) or Certified Paralegal (CP) are desirable
