Description

Our client is a holdings company in Abu Dhabi delivering Energy and Utilities, Food and Agriculture, Healthcare, Pharma, and Mobility and Logistics among others. They are looking to hire a temporary Legal / Admin Assistant who will be assisting the lawyers in admin support, documents preparation, editing, formatting, and drafting letters. This role is for a 3-6 months temporary contract and the successful candidates must be available immediately and have a family-sponsored visa or their own visa. Qualifications:

  • Bachelor's Degree in Law or any other relevant education.
  • A minimum of 8 years of experience in total and within the UAE
  • Proficient with MS Office application (Word, Excel, Powerpoint, and Outlook)
  • Excellent verbal & written communication skills
Responsibilities:
  • Assist the lawyers in admin support, documents preparation, Editing, formatting and drafting letters
  • Maintain Filing System (electronic and original documents)
  • Maintain calendars and scheduled meetings
  • Provide the ADQ teams with constituent documents related to KYC and bank accounts opening
  • Coordinate between the Lawyers and the PRO for the documents attestation from MOFAIC and the Embassies
  • Coordinate with the legal translator for documents translation
  • Coordinate between the lawyers and other departments on different types of requests i.e. NDAs, specific Agreements, signatures, etc.
  • Handled outgoing couriers and tracked documents
  • Handle ADGM & Masdar portals for lease, licenses renewal, applied for certified true copies, Data confirmation, annual return confirmation etc.
  • Manage and update RFP bidding trackerManage Legal Expenditures i.e. law firm Invoices, and credit card payments
  • Maintain the legal expenses register
  • Reviewed invoices with the lawyers before CLCOs approval
  • Coordinate between the law Firms and ADQ Procurement and Finance team for vendor registration (Bank Details)
  • Raise PR on oracle, followed up for approvals, POs issuance
  • Receive Invoices and coordinated between the finance team and the law firms for accounts verifications, and payment clarification.
  • Reconcile accounts between the law Firms and the Finance team and follow up regarding missing payments.
  • Manage the invoices manual register, updated Legal, Projects, and Law Firms costs.
Work Location: Abu Dhabi, UAE
Work Schedule: 8 AM to 5 PM / Monday to Friday
