Job Overview:
We are seeking a highly organized and detail-oriented HR Assistant to provide crucial support across core HR operations. The ideal candidate will be the backbone of our administrative HR functions, ensuring seamless management of documentation, employee lifecycle processes, and compliance. This role is perfect for someone who thrives in a structured environment and is looking to build a career in HR within the UAE.
Key Responsibilities:

  • HR Documentation & Onboarding:
  • Prepare, update, and maintain all HR documents, including employment contracts, offer letters, company policies, and employee personnel files (both digital and physical).
  • Manage the entire employee onboarding and offboarding process, ensuring a smooth experience.
  • Maintain accurate and up-to-date employee records in the HR system.
  • Visa & Government Relations (JAFZA Specific):
  • Mandatory: Utilize prior JAFZA experience to manage end-to-end visa processing, including new employment visas, renewals, cancellations, and stamping.
  • Liaise with JAFZA authorities, typing centers, and other government bodies (MOHRE, etc.) for all employee-related documentation.
  • Keep abreast of and ensure compliance with all updates to JAFZA and UAE Labour Law regulations.
  • Payroll & Timesheet Coordination:
  • Act as the primary link between employees, department heads, and the payroll provider/accounting department.
  • Collect, verify, and process monthly timesheets, ensuring accuracy and timely submission.
  • Handle payroll-related queries and assist in resolving any discrepancies.
  • Compliance & Administration:
  • Ensure all HR practices and documentation comply with company policies and the UAE Labour Law.
  • Assist in the preparation of reports and audits as required.
  • Provide general administrative support to the HR department, including scheduling meetings, managing correspondence, and maintaining the HR calendar.
Mandatory Requirements:
  • ?? Prior hands-on experience with JAFZA visa and government procedures is mandatory.
  • ?? Valid UAE Driving License is required.
  • Minimum of 1-2 years of experience as an HR Assistant or in a similar administrative role within the UAE.
  • Proven experience in HR documentation, visa processing, and payroll/timesheet coordination.
  • Strong understanding of UAE Labour Law and its application.
Skills & Competencies:
  • Excellent command of English (both written and spoken); Arabic is a strong advantage.
  • High level of proficiency in MS Office (Excel, Word, Outlook).
  • Exceptional attention to detail and organizational skills.
  • Ability to handle confidential information with discretion.
  • Proactive, able to work independently, and manage multiple priorities in a fast-paced environment.
  • Strong interpersonal and communication skills.
