Job Title: HR Assistant Job Category: Professional Department: HR Department Location: DUBAI Reporting to: HR Manager Position Type: Full- Time Position Purpose An HR Assistant, or Junior Human Resources Associate, is responsible for providing administrative support to the HR Manager by documenting staff changes, performance reports and communications. Their duties include scheduling onboarding tasks, processing payroll updates and managing communications for the HR department. Principal Accountabilities
  • HR Operations Support: Actively assist in the daily operations of HR functions and duties, ensuring efficiency and compliance with organizational policies.
  • Administrative Assistance: Provide comprehensive clerical and administrative support to the Human Resources Manager, contributing to the smooth functioning of the HR department.
  • Employee Record Management: Diligently compile, update, and maintain employee records both in digital and physical formats. Ensure timely updates of employee personal details in the ERP system and corresponding files.
  • Personnel Documentation: Process and prepare detailed reports related to various personnel activities, including staffing, recruitment, training, grievances, and performance evaluations, to support informed decision-making.
  • HR Project Coordination: Efficiently coordinate HR projects, including training programs, corporate events, and surveys, ensuring successful execution and participation.
  • Employee Queries Handling: Respond to employee requests for salary certificates and other required documentation, maintaining a high level of service and confidentiality.
  • Payroll Data Preparation: Assist in payroll preparation by providing accurate data on employee absences, bonuses, leaves, overtime, and other relevant information.
  • New Hire Visa Coordination: In collaboration with our PRO, we ensure a seamless visa process by guiding employees through each step. This includes making certain that they submit all necessary documentation promptly and attend scheduled medical appointments and Emirates ID application procedures on time.
  • Recruitment Support: Support HR Manager with job posting, co-ordinate communication with job candidates and schedule interviews, contributing to an efficient recruitment process.
  • Orientation Program Scheduling: Organize orientation programs for new hires, ensuring they receive a comprehensive introduction to the organization.
  • HR Communications: Manage internal HR communications, including preparing materials for new hire introductions, birthday wishes, and other announcements.
  • Creative Material Preparation: Arrange information and materials necessary for creating artwork for various HR initiatives and announcements.
Qualification and Experience Requirements
  • Associate or bachelor\xe2\x80\x99s degree in human resources, Business Administration, or a related field.
  • 2 years of experience in an HR support role.
  • Experience in handling administrative tasks such as record-keeping, data entry, and document management.
Core Skills & Competencies
Strong organizational and time management abilities to handle various administrative tasks efficiently. Attention to detail, ensuring accuracy in record-keeping and documentation. Excellent verbal and written communication skills for clear and effective interaction with employees and management. Ability to handle sensitive information discreetly and maintain confidentiality. Competence in using HR software, Microsoft Office Suite, and other relevant technology tools. Strong interpersonal skills to build positive relationships with employees at all levels. Approachable and supportive, fostering a positive work environment. Awareness and respect for cultural diversity within the workplace. Ability to interact effectively with a diverse workforce. Flexibility to adapt to changing priorities and job requirements. Openness to learning and applying new methods and processes.
