Reports to: Head of HR Job Scope:
To support the Head of HR in the provision of high quality, efficient day to-day HR service for the school. Providing a timely, confidential, and efficient HR administrative service, focusing on the following areas: recruitment processes to include coordinating the recruitment administration process from start to finish and ensure appropriate communication and recordkeeping processes are followed to meet current recruitment and safeguarding regulations, HR records data management, HR administration, employment documentation and compliance. The post holder is expected to work with a high degree of accuracy, confidentiality, and attention to detail. The role will support the school in attracting, developing, and retaining a high performing workforce, which supports the school’s strategic aims and ensures expert advice and support on all HR matters. Main Duties and Responsibilities: The following duties are not shown in order of priority or frequency, nor is the list comprehensive, but rather an indication of the type and level of duties expected of the post.
  • To assist the Head of HR with the efficient running of staff recruitment and selection processes by liaising with the relevant departments, advertising media, placing job adverts, longlisting, responding to candidate queries, producing interview schedules, booking rooms, producing panel packs, checking applicant details on the day of the interview, etc. Maintain accurate electronic and paper records of the recruitment and selection process.
  • To ensure that the vacant roles listed on the career’s website is reviewed and updated on a regular basis
  • To collaborate with the Head of HR in creating and reviewing/updating job descriptions and recruitment packages to ensure SISD is an employer of choice.
  • To deal with all recruitment enquiries, by email, telephone or in person promptly and efficiently
  • To liaise with recruitment agencies and ensure that all relevant information regarding checks is received from them
  • To obtain and check references against information provided on applicants’ application forms and obtain information about any gaps in employment and academic history. Report findings to Head of HR.
  • To conduct and record verification of references through telephone calls
  • To provide all references to Section Heads, Heads of Dept and Line Mangers in a timely manner. Where references are outstanding to bring these to the attention of the Head of HR as soon as possible
  • To collaborate with the HR Administrator and HR Senior Officer in setting induction timetable for new staff with HR, IT, Facilities and introduce new members of staff to the SLT
  • To deliver as and when required the HR induction and onboarding session to new staff individually or in small group sessions before they start ensuring that they have read and signed all applicable policies and regulations and that all employees are aware of them and where they can access them
  • To ensure that the staff list (‘SISD team’) on the school's website is reviewed and updated on a regular basis to reflect current role holders/roles/grade/designation
  • To ensure in collaboration with the HR Administrator that all new staff bios and photographs are sent to the marketing dept by July for updating the school website for August
  • To ensure in collaboration with HR Administrator that the full staff list of names, photos, designation, dates of birth, personal and work emails and contact numbers is distributed to the Principal, Principal PA, Section Heads, Section Heads secretaries in August and is updated as staff leave or join SISD during the academic year
  • To be responsible for KHDA Teacher Licensing and ensuring that staff are actively participating in the process through regular reviews of the KHDA Educator portal and engagement with academic staff
  • To maintain personnel files in an orderly, secure, and confidential manner, ensuring files are kept up to date and in line with data protection requirements. To carry out regular audits and maintenance of personnel files as required.
  • To be the first point of contact for staff queries about routine employment matters, referring more complex issues to the Head of HR as appropriate
  • To process information onto the HR database (HR PRO), to include staff details and changes, recruitment and employment checks, staff qualifications, start and leaving information, absence recording, staff training, probation review dates, etc.
  • To support the Head of HR with employee relations cases when required including general administration and being present at informal and formal meetings to take minutes
  • To carry out general HR duties, such as producing standard and ad hoc letters and documents, general filing, archiving, and shredding
  • To work in collaboration with the HR Administrator, HR Senior Officer and PRO on any HR and recruitment matters as may be required
  • To assume some of the responsibilities of the HR Administrator, HR Senior Officer and PRO in their absence
  • To carry out any other reasonable duties, as may be determined by the Head of HR.
  • To be committed to the continuous improvement and review of current practices and procedures; making suggestions for revision where the need for change is indicated
  • To maintain up to date awareness of current employment law and best practice issues
  • To building good relationships with all employees (prospective and current) to provide proactive and customer-focused HR support
  • To take part in such staff training as may be agreed
  • To adhere to school policy on safeguarding and updating training as required.

Degree Educated with a focus on HR or Business Administration Experience:
  • A minimum of 2-3 years’ experience working within HR, preferably wit recruitment experience
  • Knowledge in general of HR office procedures, policies, and methods
  • Experience of working in a school, college or university
