Job Purpose
. Ensure the administrative management of personnel in accordance with the rules set by Management and in compliance with the legal obligations of the employer. . Perform timely and accurate payroll cycle process & related services for Three legal entities . Consistently maintain the integrity of employee data, handle complex requests that require policy interpretation . Maintain and adhere to quality controls throughout the payroll process as defined by local payroll vendor and global standard . Escalate/refer cases to PS Team Leader Functional Specialists as appropriate and communicate effectively within People Services teams . Contribute through their actions to maintaining a positive social climate.
Key Accountabilities
. Maintain payroll processing schedules and related tasks/events, ensure effective transition and coordination of processing events between the People Services Center and cross-BU/HRBP teams . Perform required tasks and validation steps to ensure production of timely and accurate employee payments, transfer of funds and delivery of appropriate reports and related files for BUs . Act as day-to-day liaison for HRBPs/Employees for payroll related processing events and system processing inquiries, ensuring timely review and resolution of issues . Ensure local payroll vendor performs payroll services at high quality which adhere to company policy, ensure local payroll vendor meets required statutory obligations and company standard process at all the time . Monitor and report on payroll performance metrics related to assigned activities/initiatives. Participate in testing and validation as required for product updates and cyclical processing events including monthly, quarterly and annual base activities . Maintain and adhere to quality controls throughout the payroll process and ensure it is aligned with global & local payroll process & standards . Identify opportunities for continuous improvement of work processes, techniques & systems and contribute to best practice sharing within and across People Services teams and HRBP teams . Participate in various HR projects and execute assigned project activities . Manage administrative tasks related to personnel, including: . Employee relations . Issuing employment certificates and attestations . Managing employee loans and salary advances . Maintaining and updating individual personnel files . Handling administrative procedures for work-related accidents . Managing relations with insurance providers . Ensuring compliance with fiscal and social obligations related to salaries . Liaising with social institutions (CNSS, retirement and disability/death funds) . Manage group health, disability, and life insurance as well as relations with occupational health services. . Participate in employee delegate negotiations and help resolve any conflicts that arise. . Maintain relations with service providers such as catering companies, staff transportation providers, and temporary staffing agencies. . Provide monthly and annual reports on work accidents and absences to the HSE Manager. . Ensure enforcement of rules related to absenteeism and apply relevant disciplinary actions. . Stay updated on and ensure compliance with tax and labor regulations related to payroll management. . Monitor changes in labor and social legislation. . Develop KPIs and monthly activity reporting.
Experience
. Advanced degree in personnel administration and management, with 5 years of experience in a similar role. . Strong knowledge of labor legislation. . Excellent English written and verbal communications skills . Good knowledge of Microsoft Office Applications and HR related technology, including payroll system, employees master data system and others. . Solid payroll system/process/practice experience in large multinational company and/or Shared Service Center . Familiar with national & local labor related laws . Eye for detail, strong data, analytical & pressure-management skills . Customer service experience and mature communication & interpersonal skills .
