JOB DESCRIPTIONDesignation: HIM Supervisor Section/Department: Health Information Management Reporting to: HIM Manager Responsible for/Reporting Staff: Medical Record, Archiving and Data Management Staff Purpose and Scope of the Job: Under the supervision of HIM Manager, the HIM Supervisor is responsible for overseeing the administrative and operational duties related to the Data Management, Medical Records and Archiving areas. Main Duties and Responsibilities/Performance Standards
To assume responsibility for all administrative and supervisory duties related to Data Management, Medical Records and Archiving areas, ensuring that units are fully functional and meet departmental objectives.
Effectively distribute and oversee departmental work and responsibilities in order to improve workflow processes which achieve departmental goals and objectives targets, as per operational plan.
Conduct on-going training, coaching, auditing and evaluation of staff to ensure knowledge and skills gain in job functions and accuracy of results and reports.
Supports staff in research design and effective data utilization, including, but not limited to, knowledge of data resources and access, database and query design, statistical and other analyses, report writing and design, through HIS systems.
Assist in the review/revision/development of the departmental policies & procedures, job descriptions, manpower, and duty rosters as needed
Represent HIM Manager, or as a member, in Committees requiring HIM presence and functions.
Continuously assess areas of improvement and develop action plans and evaluation criteria to increase productivity and efficiency.
Verify that usage of EMR and releases of information are in accordance with Hospital policies and procedures, guaranteeing security and confidentiality of patient health information.
Assist in developing annual operational objectives and KPIs to ensure departmental progression and development.
Aid in evaluation, planning and adoption of newly-introduced software as part of the organizational strategy toward full automation.
Suggest and implement improvements related to EMR-related reports and reporting methods.
Ensure accurate and timely data is disseminated to internal and external customers.
Perform other duties as required assigned by HIM Manager to ensure departmental goals and objectives are achieved.
Ensures safety standards (occupational and patient safety) are complied.
Ensures quality and patient safety practices are followed
Provides or promotes patient and family-centered care
Promotes inclusive health by providing equitable and accessible care to patients and families with special needs.
Qualifications, Competencies and Skills: Education: Bachelor\xe2\x80\x99s Degree related to Administration/Statistics. Master\xe2\x80\x99s Degree Preferred Experience: Five years\xe2\x80\x99 experience directly related to the duties and responsibilities specified, particularly expertise in data management. Licensure: Not Applicable Language: Proficiency in English Language. Computer Proficiency: Computer literacy \xe2\x80\x93 highly skilled Performance Competencies
Ability to lead and manage a team effectively and efficiently.
Ability to maintain quality and security standards related to patient information
Knowledge of medical terminology & healthcare organization processes
Strong organizational skills & self-initiative
Excellent Communication Skills in English
Ability to work under pressure and resolve issues quickly
Expertise in MS Office suite
Possesses good team spirit, interpersonal and motivational skills
Following established policies & procedures for safeguarding patient protected health information
Knowledge of hospital HIS systems, processes, documentation, and data management standards.
