Healthcare Purchase And Accounts Officer

Job Description

We are looking for a Healthcare Purchases and Accounts Officer who will be responsible for overseeing the procurement of medical supplies, equipment, and services while maintaining accurate financial records and managing vendor accounts. This role ensures that all purchasing activities comply with organizational policies and healthcare regulations and supports accurate and timely reporting for internal and external stakeholders.

Key Responsibilities:



Procurement & Purchasing:



Source and purchase medical supplies, pharmaceuticals, and equipment from approved vendors. Obtain and compare quotes to ensure cost-effectiveness and quality. Negotiate terms, prices, and delivery schedules with suppliers. Maintain accurate records of purchases, contracts, and vendor communications. Track inventory levels and initiate replenishment orders to avoid stockouts. Coordinate with clinical and administrative teams to assess procurement needs.

Accounts & Financial Management:



Process invoices and purchase orders in the accounting system. Reconcile supplier statements and resolve billing discrepancies. Monitor budgets and spending related to healthcare procurement. Assist in monthly and annual financial closing processes. Prepare regular reports on expenditures, outstanding payments, and cost analysis. Ensure compliance with financial policies, accounting standards, and audit requirements.

Qualifications & Requirements:



Bachelor's degree in Accounting, Finance, Business Administration, or related field. 2+ years of experience in procurement and/or accounting, preferably in a healthcare or hospital setting. Familiarity with healthcare supplies and procurement processes. Proficiency in accounting software (e.g., QuickBooks, SAP, or similar ERP systems). Strong Excel and data analysis skills. Excellent negotiation, communication, and organizational skills. Knowledge of healthcare regulations and compliance standards is a plus.

Preferred Skills:



Certification in procurement or accounting (e.g., CIPS, CPA, CMA). Experience working with hospital management systems (HMS). Ability to manage multiple vendors and prioritize tasks effectively.
