We are seeking a professional and friendly Front Office Executive to manage our front desk on a daily basis and perform a variety of administrative and clerical tasks. As the first point of contact for the company, the ideal candidate should be well-presented, courteous, and able to provide excellent customer service to visitors, clients, and employees.
Key Responsibilities:
Greet and welcome guests as soon as they arrive at the office
Direct visitors to the appropriate person and office
Answer, screen, and forward incoming phone calls
Ensure reception area is tidy and presentable, with all necessary stationery and material
Receive, sort, and distribute daily mail/deliveries
Maintain office security by following safety procedures and controlling access via the reception desk
Schedule appointments and maintain meeting room bookings
Provide basic and accurate information in-person and via phone/email
Update calendars and schedule meetings
Perform other clerical duties such as filing, photocopying, transcribing, and faxing
Coordinate with housekeeping and facility teams to maintain office hygiene and supplies
Requirements:
Proven work experience as a Front Office Executive, Receptionist, or similar role
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Professional attitude and appearance
Solid written and verbal communication skills
Excellent organizational skills and attention to detail
Multitasking and time-management skills, with the ability to prioritize tasks
Customer service attitude
High school diploma; additional qualifications in Office Administration or relevant field is a plus
Preferred Qualifications:
Experience in handling administrative responsibilities
Knowledge of front desk systems and office equipment (e.g. printers, scanners)
Familiarity with visitor management systems
