Job Description

The Office of Financial Grants and Scholarships is seeking a detail-oriented and proactive Financial Grants and Scholarships Officer to support in managing and administering financial aid programs within the university.This position involves overseeing the application process, evaluating financial need, and coordinating the disbursement of funds to eligible students. The officer collaborates with various university departments to ensure compliance with regulations and alignment with institutional goals. Responsibilities include but are not limited to; attending to a high volume of inquiries received by students and parents and counseling them on various grants and scholarships programs, inputting of all awards on system (Banner), issuing offer letters to students, maintaining accurate records, and contributing to the continuous improvement of financial aid programs.Job Responsibilities
  • Attend to all inquiries from students, parents, and staff received by phone, email, walk-in customers and/or online meetings.
  • Provide guidance to the students and parents on the requirements/ procedures/ forms required to apply/ maintain a grant/ scholarship.
  • Collect, evaluate, analyze and process all grants/ scholarships applications received.
  • Review applications for accuracy and truthfulness.
  • Counsel students on all matters related to grants/scholarships.
  • Input all awards on Banner after checking for accuracy.
  • Responsible for issuing all types of letters to students i.e., offer letters, rejection letters, renewal letters, etc.
  • Create and maintain files for all students receiving a grant/ scholarship.
  • Ensure all office equipment are in working condition.
  • Schedule appropriate repairs or maintenance work, etc., if required.
  • Liaise with various departments such as supply chain management for processing requests for office supplies, furniture, and office equipment, printing of all leaflets, meal plan vouchers, or any other printing requirements, and coordination with IT for IT-related requirements for online forms.
  • Prepare statistical reports and any other reports.
  • Assist the students with course and university withdrawals by signing the form and providing guidance.
  • Liaise with various departments (such as IT, Finance, Student Affairs etc.) to ensure proper process and protocol is followed & student workers\' salaries are charged from the relevant budget.
  • Follow up with students who are offered a merit scholarship or whose financial grants are due for renewal through telephonic and email reminders to encourage them to confirm their merit scholarships / submit their financial grant renewal applications before deadline.
  • Distribution of graduation gowns for eligible students receiving financial grants.
  • Attend recruitment events organized by OEM / Colleges/ Strategic Communications and Marketing.
  • Perform other duties as assigned by the Director of Financial Grants and Scholarships
Qualifications and Skills Required
  • Experience and education equivalent to bachelor\'s degree (B. A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
  • Language skills such that the incumbent is able to read and interpret documents such as Salary certificates, Profit & Loss Reports/ Financial statements, Bank statements etc.
  • Ability to speak effectively before groups of customers.
  • Math skills such that the incumbent is able to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Reasoning skills such that the incumbent can define problems, collects data, establishes facts, and draw valid conclusions.
  • Computer skills such that the incumbent is able to use the following applications: Highly proficient in Microsoft Office, mainly Microsoft Word/Excel, Banner SIS and in Adobe Acrobat.
  • Works well under pressure, during late hours and on weekends whenever required. Flexible in work schedule and assignments.
  • Have the ability to function independently and as part of a small team.
  • Arabic communication skill is an advantage.
  • Experience in a higher education work environment is an advantage.
  • UAE National preferred.
