Job Description

En Vogue Beauty and Medical Center is seeking a highly organized and personable Patient and Client Coordinator to join our dynamic team. This unique role is central to our operations, serving as the main point of contact for individuals visiting both our state-of-the-art medical center and our luxury beauty salon. The ideal candidate will ensure a seamless, high-quality, and supportive experience for every guest, from initial inquiry through to follow-up care and future bookings.

Duties and Responsibilities



Core Patient & Client Coordination Responsibilities:



Serve as the primary liaison and trusted point of contact for patients and clients, guiding them through their journey with us. Perform key administrative duties, including managing complex schedules, coordinating care plans, and ensuring all pre- and post-treatment protocols are communicated effectively. Oversee and support the reception team to ensure the center's policies, patient confidentiality, and five-star service standards are consistently upheld. Coordinate comprehensive patient care plans and client service journeys by liaising with all necessary medical professionals, specialists, and beauty therapists. Arrange follow-up appointments, specialist referrals, and future bookings, ensuring a seamless continuation of care and service. Collect, verify, and manage patient and client data with a high degree of accuracy and confidentiality. Proactively meet with patients and clients to ensure their needs are being met, answer their questions, and professionally resolve any issues or complaints to ensure satisfaction.

Sales & Business Growth Responsibilities:



Leveraging a deep understanding of client needs gained through coordination, proactively educate them on the full spectrum of our beauty and medical services, treatments, and product lines. Identify opportunities to upsell and cross-sell services, packages, and retail products in a manner that enhances the client's overall wellness and beauty goals. Manage inbound inquiries via phone, email, and in-person with the primary goal of converting them into consultations and booked appointments. Conduct thoughtful and timely follow-ups after consultations to assist clients in proceeding with recommended treatment plans and services. Support client retention strategies by building strong personal relationships and encouraging loyalty through exceptional, consistent service.

Qualifications



Minimum of 5 years of experience in a patient coordinator, guest relations, or senior administrative role, preferably within a medical, aesthetic, or high-end salon/spa environment. Proven experience in a customer-facing role with sales responsibilities; a track record of meeting targets is highly desirable. Knowledge of medical and aesthetic terminology is a strong asset. Fluency in both Arabic and English is mandatory.
