  • Greet visitors and answer telephone calls in a professional and courteous manner, take messages, give information to callers and refer to team members. Retrieve voice mail messages and arrange conference calls.
  • Schedule appointments, meeting and conferences and coordinate with team members. Reserve conference room(s) for meetings and coordinate catering services. Arrange travel schedule and reservations for team members.
  • Acting as a first point of contact, handle incoming business inquiries and phone calls, organizing meetings and appointments, receipt and deliver original documents, prepare outgoing courier, arrange/supervise messenger daily schedule.
  • Prepare accurate, error-free, and properly formatted legal materials and correspondence following the firm\xe2\x80\x99s Legal Documents Writing manual. Check completed documents for spelling errors. Proofread and edits documents for grammar, spelling, punctuation, and format.
  • Maintain orderly clients and firm\xe2\x80\x99s general administrative files. File documents and emails in the firm\xe2\x80\x99s electronic document software.
  • Review, prioritize, and route incoming mail. Prepare outgoing mail and overnight packages. Coordinate courier pickups and deliveries.
  • Maintain orderly clients and firm\xe2\x80\x99s general administrative files. File documents and emails in the firm\xe2\x80\x99s electronic document software. Distribute correspondence using scanning, PDF, email or hard copy delivery.
Your Qualifications
  • You hold a bachelor\'s degree and have a minimum of 4 years experience in similar role, preferably in law firms.
  • Previous success in a receptionist role. You are proficient in secretarial/admin works, file management and have taken on aspects of PA duties in the past.
  • You must possess sound knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook, etc.).
  • You are dynamic, presentable with excellent communication skills.
  • High integrity & ethics, courteous, professional, and punctual.
  • Excellent organization and time management skills
  • Ability to multitask and adjust priorities as needed
  • You have a perfect command of English, spoken and written. Other language(s) will be considered an advantage.
  • You are fast learner, motivated, dynamic, able to work both independently, and eager to develop strong relationships with clients in an international context.
  • You are Dubai based.
Job Type: Full-time Salary: AED4,500.00 - AED5,000.00 per month Application Question(s):
