Key Responsibilities:
Administrative Support:
Manage calendars, meetings, and travel arrangements for senior management.
Maintain organized filing systems for contracts, agreements, and regulatory documents.
Draft correspondence, prepare reports, and manage office supplies.
Property Coordination:
Assist with onboarding new properties, ensuring accurate data entry into CRM or PMS systems.
Coordinate with agents, landlords, and service providers for listings, viewings, maintenance, and check-ins/check-outs.
Track maintenance schedules and service requests for holiday homes or rental properties.
Client & Guest Relations:
Respond to client and guest inquiries, provide support during booking processes, and resolve operational issues promptly.
Manage guest reviews, feedback tracking, and complaint resolution follow-ups.
Welcoming and Offering guests and Directors of the company with refreshments.
Financial & Documentation Support:
Support invoicing, petty cash tracking, and expense reporting.
Prepare leasing documents, tenancy agreements, and booking confirmations as needed.
Compliance & Licensing:
Ensure all property documents (DEWA, Ejari, tourism permits, etc.) are current and compliant with local regulations.
Coordinate license renewals, inspections, and municipality documentation.
Requirements:
Proven experience (2-5 years) in an administrative or coordination role within the
real estate
or
holiday homes
sector.
Strong understanding of local real estate laws, booking platforms (e.g., Airbnb, Booking.com), and government portals.
Proficient in MS Office Suite; experience with CRM systems, property management software (e.g., Tokeet, Guesty), or ERP tools is a plus.
Excellent communication and organizational skills.
Ability to multitask and work under pressure in a dynamic environment.
Fluent in English; Arabic or other language skills are a plus.
Preferred Qualifications:
Bachelor's degree in Business Administration, Real Estate, or a related field.
Knowledge of Dubai Land Department, RERA processes, or short-term rental licensing procedures (if applicable to region).
