Facilities Supervisor
Position Summary
The Facilities Supervisor is a hands-on leadership role responsible for overseeing the daily operations, maintenance, and minor improvements of our company's facilities. This individual will ensure that our building systems--including mechanical, electrical, plumbing, and security--operate reliably and efficiently. The ideal candidate will leverage their engineering background to solve complex problems and their OA experience to manage administrative tasks, vendor relationships, and internal communications seamlessly.
Key Responsibilities
Technical & Operational Management (Engineering Focus):

  • Supervise and perform preventive and corrective maintenance for all building systems (HVAC, electrical, plumbing, life safety, etc.).
  • Apply engineering principles to troubleshoot issues, propose solutions, and oversee minor repair and improvement projects.
  • Conduct regular facility inspections to identify and address maintenance needs, safety hazards, and opportunities for improvement.
  • Manage and maintain facility documentation, including floor plans, schematics, and system manuals.
  • Respond promptly to emergency situations and after-hours calls as needed.
Administrative & Office Support (OA Experience):
  • Manage the facilities work order system; prioritize, assign, and track completion of requests from employees.
  • Serve as the primary point of contact for all facility-related internal communications, ensuring clear and timely updates to staff.
  • Oversee office administration tasks related to facilities, including moves, adds, changes (MAC), space planning, and seating arrangements.
  • Source, negotiate with, and manage relationships with external vendors, contractors, and service providers. Process invoices and manage the facilities budget for assigned categories.
  • Maintain inventory of supplies, tools, and equipment necessary for facility operations.
  • Assist in the preparation of reports and budgets for senior management.
Leadership & Safety:
  • Supervise and schedule internal maintenance staff and/or external contractors.
  • Ensure compliance with all local, state, and federal regulations, including OSHA and other safety standards.
  • Lead and promote a culture of safety, conducting regular safety meetings and training for staff.
  • Develop and implement standard operating procedures (SOPs) for facility tasks.
Qualifications & Experience
Required:
  • Associate's or Bachelor's degree in Mechanical Engineering, Electrical Engineering, Civil Engineering, Facilities Management, or a related technical field. Equivalent practical experience will be considered.
  • Minimum of 3-5 years of experience in facilities maintenance, building operations, or a related engineering role.
  • Proven hands-on experience with building systems (e.g., HVAC, electrical, plumbing).
  • Strong problem-solving and analytical skills with a methodical approach.
  • Proficiency with computerized maintenance management systems (CMMS) and Microsoft Office Suite (Word, Excel, Outlook).
Preferred:
  • OA (Office Administration) experience is highly preferred. This includes experience with:
  • Vendor management and procurement.
  • Internal client communication and support.
  • Basic accounting and invoice processing.
  • Space planning and office move coordination.
  • Proven experience in a supervisory or team leadership capacity.
  • Excellent written and verbal communication skills, with the ability to explain technical issues to non-technical audiences.
